Inclement Weather - SOS (Share Operational Status):
When inclement weather is forecast, Ambulatory leadership may begin the SOS process.
This involves running regular cancellation reports to see if there are trends. Please be sure to use the correct weather-related cancellation codes to insure reports are accurate.
Survey practices to determine operational plans and % of scheduled providers in the clinic.
If you receive the SOS Survey detailed in the S.O.S. Videoplease complete immediately.
This data is sent to senior leadership and will guide decisions across ambulatory related to early closure, delayed opening, etc.
Monitor the MGH Severe Weather Page for any updates to our operational status and decisions made by the hospital.

Text message sent to patients with scheduled in-person appointment when the Ambulatory Snow Response is activated.
Patient asked if they want to cancel due to weather, if they respond "yes", the visit will auto cancel and be removed from the DAR
Reports available to be sure patients are rescheduled
BCA Health and Epic Honor Roll
Complete the BCA attestation by the Friday, 1/15/21 deadline
If the BCA fails the help desk tickets are autogenerated
Repeat the attestation when issues are resolved
Making the Epic honor roll has financial implications to the hospital

Updates to the approved support person (ASP) workflow (tip sheet).
Staff will no longer be required to enter the approved support person name in Epic or screen them prior to the appointment. Screening will occur when ASP presents to Welcome Desk.
ASP Flag will auto-set for pediatric patients or patients with a documented special need in Epic.
Interpreter Communication Enhancement - new actionable Storyboard feature and a new DAR and Interpreter Work List column. Allows message for interpreter to view.
New warning at scheduling and check-in for patients with VA coverage.
Incorrect PCP information is a patient safety issue because of the routing of test results, ED or inpatient admissions notifications to the provider identified in the PCP field. It can also result in denied claims.
Aswita Tan-McGrory from the Disparities Solutions Center presented on learnings from COVID-19 about making healthcare more equitable.
Reviewed data on COVID impacts with racial, ethnic, and language information.
Discussed how some patients had concerns about the privacy of their information, including immigration status and provided guidance for clinicians on documenting and a script to help practices when speaking with patients about their concerns.
