The New Hybrid Course Type
|
I'm sure nobody is running hybrid courses out there, so I'll start with a definition (used by ACEware): Courses that run in person and virtually at the same time. Since the, "now normal," is to offer people flexibility in how they consume education, this mode lets you offer one course to multiple populations.
In order to set up your hybrids courses in your software, you'll need to take the following steps. First, you must update to the latest Student Manager (8.0.100). If you are using ACEweb, you'll need to get x.x.065 when it releases (we are hoping it'll go out this week). Next, you'll set the course type to Hybrid. Several things open up for you, but the most crucial is the Hybrid column on the Main Fees. You need to tell it which fees are for Physical attendees and which are for Virtual (we need that to get people assigned to the right bucket). On the new Hybrid tab, set your physical max (your course max is the total number of Virtual and Physical attendees). From there, you can enroll students as normal.
When the physical maximum is met for the course, staff have the option to Waitlist the student in Student Manager or pick a Virtual fee. (At this time, ACEweb does not support the ability for students to Waitlist themselves. ACEweb will allow the student to select a Virtual fee once the Physical seats have all been filled.)
We debuted this at Conference last week and there were a number of improvements suggested by attendees. Things like Course Quick Reports to contain the Hybrid field available (so you can put on rosters who are Physical and who are Virtual) and the current physical enrollment count show on the Hybrid tab. Those things we should be able to get into the July build of Manager (8.0.101). Send me any other ideas you may have for this feature!

That's a Wrap! 2021 Virtual Conference a Success

ACEware was joined by 123 software users from 59 unique programs around the nation last week. We spent 4 hours together each day for general sessions, concurrent meetings, a customer panel, small group discussions, and customer spotlights.
Whew! It was busy and information-packed week. A software quiz was provided to identify which customers are ACEware gurus. The award went to Carolyn from Terra State Community College. She answered 26 out of 30 T/F questions correctly! If you were not able to attend, download and pass the quiz on to your team and see who your guru is. Everyone is sure to learn a bit more about their software! Get the quiz and the answers here.
The most discussed topic of the week was Hybrid Courses and our new Hybrid Course Type! It is available now in Student Manager and we’re polishing things up in ACEweb. Everyone is very excited about the potential it offers.
Other new ACEware conference goodies include:
- Enhanced Enrollment Cart logging and Tracking
- Applying Escrow to Grouped Registrations (we had lots of applause for this!)
- Course editing in Manager Web
- Workshop changing (by students)
- Custom dates in instructor attendance Tracking
- Instructor Grading notification for staff
- Hybrid Course Types (Big, BIG deal and worth mentioning again)

The lift on in-person restrictions was celebrated and several in attendance received gift cards for movies, ice cream, dinner out, and such. There were big winners of an ACEweb makeover, an optional module, a custom report and some team training! Those who attended also receive 15% off a new module. How’s that for a ROI on attendance?

Tech Tip of the Month: Staff Web Access
|
Need to work from home and don’t have accessibility to remote access to your desktop to get your Student Manager? With ACEweb you can use Staff Web Access.
This allows staff to:
- Look up and/or Log in as a Student
- Register Students
- Make payments (by Credit Card or Cash/Check)
- Do Cancellations
- Use Instructor Access (view Rosters, email Students, ect.)
- and new with our conference – Course Editing
Get with your Technician if you don’t know how to access your Staff Web Access. *Note, ACEweb is required for this feature to be activated.

Report of the Month: COPY2XLS
|
Do you find yourself always running the same report and exporting the same data? What if I told you that you no longer have to hunt and peck through the Export Data Selector, and that instead you could just use a simple function to always export the same data fields?
Sounds too good to be true, right? Well it’s not!
COPY2XLS is hands-down my favorite function. It’s particularly useful for things like mailing lists or data exports for state/federal reporting, since you can specify:
- Which fields to export
- The order that you want the fields exported in
- The path and name of the file
- The file type (XLS, XLSX, CSV)
You can use this function in any reporting area, so the possibilities are endless. If you’re already using COPY2XLS, we’d love to hear how you’ve put it into action. And if you aren’t, contact your technician to talk about ways it might help make some of your reporting routines easier and faster!
