Annual Team Consultation: Get the Most Out of Your Student Manager and ACEweb
|
Do you ever find yourself wishing there were a different way to pull information from your Student Manager database, or if you can even get certain types of information? Do you wonder if there is a better way to approach your workflow? Do you have pain points that you need help finding a solution for regarding your software? Well wonder no more: WE CAN HELP!
Every year, as part of your Support and Maintenance Agreement, you are entitled to a one-hour consultation and review. This hour is open for you to let us know what issues you are facing, or if there is something new you would like to do but need some guidance. During this time, you will get to meet with your tech (when available), Chuck, and Sharon. You will get the opportunity to tell them in advance what you want to cover in your annual, "checkup."
We want to give you the tools to be successful and arm you with the power to get as much out of your software as you can. Schedule your consultation with me! Don't let this benefit go to waste!

We've been scheduling a lot of executive overviews in 2022 - and it is only February! If you are not familiar with what an executive overview is, here is a quick summary:
When a new administrator takes the reins at your organization, we like to be a part of their orientation schedule. We introduce Student Manager and ACEweb, review statistical reports to guide strategic planning, explain the benefits of the Support and Maintenance Program, and share training and resources available to everyone.
Kudos to our Keepers who have contacted ACEware to share that a new administrator is in place. It makes the transition much smoother for everyone! Have a new administrator that needs an executive overview? Let me know - we're excited to get to know them!

You have blocked off June 6-10 on your calendar for our Annual Users' Conference, yes? If not, do that today! We will open registration in March.
Monday, June 6, is reserved for pre-conference workshops. You will be able to chose between 1)Reporting Basics and 2)Keeper of the Flame Training.
June 7-10 will be full of how-to sessions, tips and tricks, customer case studies, sharing what's new, and networking with colleagues. Have a, "how to?" session you want to see included? Let me know - soon!
April 18-22, 2022 (12 - 2 PM CT) is our New User Spring Training! Get your newest users signed up for this training. We promise they will feel more prepared and confident during conference in June! Read all about what is included in this four-day (two hours per day) training here. You'll be invoiced after you sign up.

During our 2022 planning retreat, we saw your requests for more open dialogue opportunities with ACEware. A time for you to join ACEware team members for a casual, round-table discussion. A time to just discuss what's on your mind and what questions you have.
We are going to call these sessions Coffee and Conversation (C&C). In 2022, we will schedule these quarterly. The first session of this type will be Wednesday, March 16, at 2:00 PM CT. There's no agenda, no specific topic except for what's on your mind.
Other C&Cs in 2022 may be more specific to roles in ACEware - for example conversations with Program Managers, Registrars, Financial Managers, etc. We're going to give it a try, see how things work out, and adjust as needed. Join our first C&C here.

Tech Tip of the Month: Viewing Courses Only Relevant to You (F2 - Set Filter)
|
While the F2 key (and quick view of courses) has been around for several years, the ability to use it to quickly set a private filter (you lock in which courses you want to see / find / register for) is fairly new. I’ve recently talked to a couple of customers who wanted to ONLY look at (when doing the FIND or the Add New Registration) certain courses (i.e., Only courses that are in a certain department or have a certain coordinator name). Well, that’s what the Set Filter does for you!
The key element is the yellow highlighted Set Filter button (see first image below).
Once you set the criteria in the F2 panel (green panel for date range) add any additional key word filter(s), and click the yellow Set Filter button, your filter (think of it as a permanent query) will stay active until you go back to F2 and click the Clr Filter button. EVEN IF YOU EXIT/CLOSE Student Manager!
When a filter is set, you see a red set of conditions showing on the Course Find Screen, to remind you the filter is active (see second image).
When you are ready to clear the filter, hit F2 again, and hit the Clr Filter.
If you want to know what the filter is, hover over the Clr Filter Button and a hover window appears showing you the current filter (see last image).
Some key notes:
1) The filter you set ONLY affects YOU. It does NOT change any other user’s views.
2) You can only have one active course filter at a time.
3) THERE IS NOTHING DESTRUCTIVE about F2 reports / Set Filter.
The best way to get familiar with Set Filter (and F2) is to go use it!! There is a section in the Help Guide with more information. If you have some unique combination of criteria and aren’t sure how to set it up, call your tech!

Report of the Month: Hybrid Name Roster
|
Last week, Chuck, Sharon, Cheryl, and I met with a group of users about how to better utilize the Hybrid feature in Student Manager and ACEweb. There were several good ideas that came out of the session for possible future development. (One I need to think on as it is a difficult task under our current model, so that is why I say "possible".) The best (and easiest!) idea to come from the group was a Name Roster showing everyone in the course, but split the In-Person and Virtual attendees somehow. Before the session was even over, I had a good start to such a report.
The biggest thing with such an undertaking is the justdoit to split the two types of attendees. This is done with the order by statement:
- justdoit([select *,0 as marker from (cursor5) order by rghybrid,nmname3 into cursor(cursor5)])
From there, a new group for rghybrid is put in so that I can put the heading "Virtual Attendees" in between the Physical and Virtual Attendees (see image). I can also reset the numbering with this as well (see image). Not shown below, but you can also label the "Physical Attendees" (included in the report to download).
