Dear Clergy, deputies, and guests to the 190th Convention of the Episcopal Diocese of Kentucky:
Greetings and peace to you,
I, the Vestry, and the people of St. Mark's Episcopal Church welcome you to Crescent Hill and the Avenue - Frankfort Avenue - and to the 190th Diocesan Convention to be held on November 10-11, 2017. We look forward to spending this time with you. If you would like to know a bit more about us, check out our website at

In this packet you will find information that will help you make your way in November: registration information and related forms, hotel information, general parking, and a draft agenda. More detailed information will be shared following registration.
Those planning to attend the Convention should register online no later than October 6. Please indicate on the form if you have any child care or special food requirements.
In the next few weeks join me in praying for all who are readying St. Mark's, all who are organizing the program and materials, and all who are planning to be with us in November. We look forward to gathering together in a spirit of peace and unity.

Registration is 1-5:30 p.m. Friday, Nov. 10, at St. Mark's Church, followed by Holy Eucharist 6 p.m. Late registration begins 7 a.m. Saturday, Nov. 11, followed by morning prayer and the bishop's address at 9 a.m. with business session beginning at 10 a.m.

Credentials of Lay Deputies
This form will complete the certification needed according to Canon 4, Sec. 6 of the Diocese of Kentucky.
Each congregation's Secretary or Clerk should submit their vestry, chapter, or bishop committee's elected lay deputies to the Secretary of the Diocese by Oct. 6.

Credentials may only be submitted by a congregation's Secretary or Clerk and can be submitted electronically here

Note: Any person planning on attending Convention needs to register. Submitting credentials is a separate process.

Registration Instructions
Every person planning to attend Convention, whether clergy, lay deputy, alternate, visitor, or other, needs to register for convention. Exhibitor information is below.
Registration must be completed online. Churches will be billed directly for their deputations at a later date. Credentials for deputies must be submitted separately by the Secretary or Clerk of the vestry. (See above.)
Registration is due by Oct. 6.

Documents Required for Seat at Convention
Diocesan Canons 4.6-7, 15.2, and 16.4 state that congregations within the Diocese must submit certain documents to the Diocese in order to be given seat and vote and Diocesan Convention. Those documents include:
- 2016 Parochial Report (due March 1)
- 2016 Audit (due Sept. 1)
- 2018 Diocesan Commitment Form in fulfillment of Canon 16 (due Sept. 27)
- Secretary's Credentials of Lay Deputies (due Oct. 6)

Youth Presence
Help our youth get involved and engaged in the polity of the church! We need your help by spreading the word to increase youth involvement in Diocesan Convention! There are two opportunities for youth to sit at convention
:
As church deputies and as youth deputies:
- Church deputies - a youth 16 years or older who has shown capacity for leadership within the local community is eligible to represent their own church. Invite them to consider applying that leadership at a Diocesan level in the name of your church!
- Youth deputies - a youth age 14-18 years is eligible to represent the youth vote at convention. All youth deputies have voice on the convention floor and will be oriented and guided through the procedures of convention. The youth deputies will choose five (5) representatives who will be allowed to vote.
A few additional reminders:
- If you are making hotel reservations and transportation arrangements, please remember that our Safeguarding God's Children guidelines do not allow for one adult and one child to room or ride together unless they are family.
- The local church is responsible for transporting all youth deputies, providing overnight accommodations and maintaining records of parent and emergency contact information.
Additional information regarding the youth presence at convention will be available soon.

Exhibitor Registration
Businesses and organizations seeking to showcase their brand to more than 200 people attending convention can register for exhibit space. Exhibits will be at St. Mark's on both Friday and Saturday, Nov. 10-11. Setup begins as early as 7 a.m. Friday, Nov. 10. T
ables, chairs, and electrical outlets are available. The exhibitor will need to provide all other items, including table coverings. Greg Premo, coordinator for exhibit space, can be reached at 502-894-2429.
Registration is due by Oct. 6.

Hotel Reservation Information
Rooms are reserved with group rates at one hotel, the Breckenridge Inn, for which the group name is "Episcopal Diocese of Kentucky." The Breckenridge offers amenities such as on-site wireless internet, a fitness room, massage and beauty centre, golf course, spa, and more.
