I wanted to update you on our payroll transition to Dayforce.
Even the most well-thought-out plans come with an adjustment. We apologize for the late notice, but we’ve had to update the payroll calendar for December 2022 and January 2023. The changes result from the need to comply with specific state-level payroll rules. This email includes the details of the new pay calendar, and the new calendar ensures that our team members continue to be paid fairly and not skip a beat.
The date that we are going live with Dayforce has changed to 1/1/2023. As such, employees should continue to use ADP to record time, pay, PTO and holidays through 12/31/2022.
Also, it’s important to know that as part of the combination with VetCor, the employer entity of nearly all employees will change for the first Dayforce payroll. In most cases, the new employer entity will be VetCor Management Company LLC. In other cases, employees will change to new state-level entities. You will receive another communication this week with that detail.
Pay Calendar Changes:
Here is the updated payroll calendar for December and January:

Employees who are paid on a bi-weekly schedule (every other Friday)
- You will receive your final paycheck out of ADP on 1/4/23.
- This will cover the pay period of 12/25 - 12/31. Employees should continue to clock in and out of ADP and enter PTO in ADP through 12/31/2022.
- We will be processing payroll on 1/2/2023 for the pay period ending 12/31/2022.
- As such, all pay and hours through 12/31/2022 must be entered by the end of day 1/1/2023.
- The paycheck that would regularly be paid on the 6th is coming early on the 4th.
- Since you are receiving a check from ADP in 2023, you will receive two W2s in January 2024

Employees who are paid semi-monthly (5th and 20th)
- You will receive your final paycheck out of ADP on 12/30/2022.
- This will cover the pay period of 12/16 – 12/31. Note that employees are being paid in advance for work being completed.
- As payroll is being processed on Wednesday, December 28, any changes (including supplemental pay, and PTO) should be entered by the end of day Tuesday, December 27.
- Note that while in the January 2023 payroll calendar it appears that the semi-monthly group is missing a paycheck on 1/5/2023, in fact, this group is being paid 6 days early on 12/30/2022.
- There will not be health insurance-related deductions withheld for this pay period. These paychecks are subject to all other scheduled deductions unless otherwise stated.
- Starting 1/1/2023, hourly employees should begin clocking in and out of Dayforce.
- Starting 1/1/2023, PTO should be entered in Dayforce. The first paycheck date coming out of Dayforce will be 1/20/23 for the pay period of 1/1 – 1/14. Employees eligible for a one-time health insurance premium bridge will receive the bonus on the 1/20/23 payroll.

PTO:
Your well-earned Paid Time Off isn’t going to skip a beat! Here’s the latest on how we’re moving your current and any future PTO requests.
- Continue to use ADP to request PTO/Sick time for PTO taken in 2022.
- As a reminder, your Paid Time Off and Sick Time policies can be found starting on page 22 of the VetCor Employee Handbook. You can see a short summary of these benefits at the bottom of this email.

Holiday Pay:
All full-time employees will be receiving holiday pay for the 12/26 holiday. Please make sure your employee Holiday hours and Holiday Worked Hours are updated in the employee's ADP timecard. Hospital Managers or Chief of Staff can make these edits in the ADP timecard on behalf of eligible employees.
For any part-time hourly employee who works in the practice on 12/26, Hospital Managers or Chief of Staff will need to add the HOLWRK code in the eligible employee’s timecard for the 1.5x hourly rate to pay out appropriately.
Moving forward into 1/1, all full-time employees are eligible for holiday pay for up to 6 holidays. These holidays include New Year’s Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, and Christmas Day. If your hospital observes different holidays, that’s great! Just know that holiday pay is capped at 6 holidays per calendar year! Full-time employees will receive 8 hours of pay at their regular hourly rate for holidays that fall on a day the business elects to observe the holiday. For locations that may have a team member come in to care for pets during a holiday observation, those team members will receive 8 hours of holiday pay at their regular rate of pay and additionally their hourly rate for any hours physically worked.

For example: Raul is a full-time employee making $10.00 per hour at All About Pets Hospital. The hospital is closed for normal operations on 12/25/22. However, Raul is scheduled to work a kennel shift on 12/25/22 for 2 hours to care for boarding pets. Raul would be paid for 8 hours of Holiday Pay equal to $80.00, plus an additional 2 hours of normal hours for the kennel shift, equal to $20.00. In total, Raul will be paid for 10 hours, equal to $100.00 before taxes for working on the holiday.
Part-time hourly employees are not eligible for holiday pay. However, if a part-time hourly employee comes into work on a scheduled holiday, they would be paid at 1.5x their hourly rate for any hours worked.

For example: Leti is a part-time employee making $10.00 per hour at All About Pets Hospital. The hospital is closed for normal operations on 12/25/22. Leti is scheduled to work a kennel shift on 12/25/22 for 2 hours of care for pets who are boarding. Leti will be paid $15.00 per hour for the 2 hours worked for a total of $30.00 before taxes.

W2s:
You will receive your 2022 W2 on or before 1/31/2023 from People, Pets and Vets via USPS. You will also be able to access your W2 by logging into www.workforcenow.adp.com > select Myself > Pay > Pay & Tax Statements > Select 2022 from the Tax Year and View Statement.
Our goal is to have these out to you as soon as they become available. Please reach out to our Payroll Team on 1/31/23 if you have not yet received your W2.
If you worked for more than one employer that used ADP in 2022, you may see your other employer’s W2 here as well, as W2s are tied to your personal Social Security Number.

Punching in and out in Dayforce
There are two ways to punch in and out of Dayforce:
- Download the mobile app. Be sure to enable location services when prompted.
- Login to www.dayforcehcm.com with company code vetcor and your credentials. Once logged in, click Work and Time Clock
Requesting PTO in Dayforce
From your Dayforce home screen, click Time Away List and Request New Time Off.
