Integration information is now being shared with a broader leadership audience.

This includes Mangers’ Minutes and the Weekly Integration Update on Thursdays.

This is being done to increase awareness as we integrate our health care system.

Because of the Thanksgiving Holiday, the Integration Update is being sent on Tuesday. We will be increasing the frequency of these updates as we approach Go Live on December 1 and beyond as needed.

Updated microsite with more Go Live Information

Visit the microsite to stay up-to date on new information, tip sheets and job aids you’ll need for December 1. Here’s what’s new:

Epic Training Materials page now includes folders for Sleep Lab and Cardiology/ Radiology non-Epic systems. Valuable tip sheets are being added daily. Tip: Use the search field to find a tip sheet by keyword, e.g., information blocking, video visits.

Additional Login Labs Scheduled

We’ve added more login labs next Monday and Tuesday, November 29 and 30 for integrating employees to test out their Epic credentials. While completely optional, it’s a good opportunity to make sure you can access Epic and resolve any issues prior to Go Live on Dec. 1. Feel free to pop by anytime from 8 a.m. to 5 p.m. You’ll be in and out in under 10 minutes! Here’s the schedule:

Woodruff – Monday, Classroom 3

Downtime - Important information for Go Live

For any planned or unplanned downtime during Go Live, please follow your current state business continuity (BC) downtime workflows. This includes network, Epic, Infor or any other technologies. Downtime processes may include printing daily reports, ensuring paper downtime documentation is readily available or using dedicated BC devices for your area.

Although we don’t expect any downtime during Go Live, it is critical to follow these processes should one occur to ensure patient safety when manual workflows are in place. Please reach out to your manager for more information about downtime processes for your area. You can also email your questions EpicGoLive12.1TrainingRequest@aspirus.org.

Odds and Ends

We’ll continue to use the same computers, monitors, printers and phones for now with a few exceptions. As supply chain delays and shortages are resolved, these devices will be rolled out in 2022.

Our phone numbers are staying the same. Remember to keep using the 10-digit number for Aspirus calls.

Biomedical Engineering Changes

Aspirus has partnered with Renovo Solutions to provide biomedical services to all facilities, effective December 1.

The partnership between Aspirus and Renovo has improved the biomedical-related communications and service delivery while also reducing related costs.

Services provided by Renovo include:

Preventative maintenance and repair of medical equipment.
Ongoing tracking of assets.
Safety Monitoring of our specialized clinical and diagnostic equipment.

Renovo has a full-time program manager dedicated to Aspirus as well as additional biomed technicians to compliment our existing biomed team to service our growing list of equipment. The Renovo team will occupy the offices and shops currently held by Trimedx at recently integrated facilities.

They are scheduling meetings at key Aspirus sites to help clinical leaders better understand what equipment Renovo will be managing, when your equipment will come onto the Renovo program, and who to contact for service.

Effective December 1, for equipment service requests:

Contact the Biomedical Engineering Department at 72858 (internal) or 715-847-2858 (external). When requesting service, please be sure to provide the following information:

1. Facility Location = Aspirus Facility Name

2. Contact name, phone number and email address

3. Biomed Equipment ID Number

4. Equipment description (example: infusion pump)

5. Description of problem

6. Is emergency service required (yes or no).

Your request will be dispatched to the appropriate service technician who will contact you to schedule the service.

Benefit Open Enrollment: Deadline Extended to Nov. 24

Aspirus Human Resources would like to extend its appreciation to those who have already submitted your 2022 Benefit Open Enrollment elections. For those who have not found the time to access your Open Enrollment options in GHR, please know that the enrollment period has been extended until the end of the day on November 24.

If you had benefits through Aspirus in 2021 and do not wish to make any benefit changes for 2022, most of your options will carry over automatically if you do not actively make changes in GHR. Despite the convenience of the automatic rollover, it is highly recommended that you review your current benefit elections for accuracy.

If you had a 2021 Flexible Spending Account (FSA) or Dependent Care Flexible Spending Account (DCFSA), these will not carry over unless you actively re-enroll for 2022.

All benefit Open Enrollment materials can be found on the Aspirus intranet. Look for the home page banner or the Employee Benefits link under the “Life & Career” menu.
