CoC Meetings for Regions 1 and 5  
The Kentucky Balance of State (BoS) Continuum of Care (KY BoSCoC) continues to conduct regional CoC meetings. The meetings are open to the public and all are welcome. A map of the regions is included on Kentucky Housing Corporation's (KHC) website under Specialized Housing, Continuum of Care. At the meetings, regions will elect representatives for the CoC Advisory Board

All CoC and Emergency Solutions Grant (ESG) funded agencies are required to send one representative to one of the meetings. While attending your local meeting is ideal, you are welcome to attend a meeting in another region, if the date is more convenient.

Region 1 and 5 meetings will take place as follows:

ESG Application Due July 10, 2017 
The competitive application funding round for the Emergency Solutions Grant (ESG) program is now open. The deadline to submit an application for consideration is Monday, July 10, 2017, at 11:59 p.m. ET.
 
In order to apply for ESG funds, applicants must have submitted the KHC Capacity Scorecard by the deadline of June 23, 2017. The application guidelines and sample scoresheet is available on KHC's website under Specialized Housing, Emergency Solutions Grant . Applicants should carefully review these documents prior to completing the application as they both provide specific information on what is expected and how applicants will be scored.

As stated in previous eGrams, this competitive application round is for a two-year funding cycle, whereby projects that are awarded funding in 2017 will be eligible for renewal in 2018, without a competitive application process so long as certain minimum thresholds are met and funding is available. The next competitive application process is anticipated to occur in 2019.
 
In preparing for the ESG application, applicants should thoroughly review the ESG Policy Manual . If you have any questions, please contact the Housing Contract Administration (HCA) Help Desk .
KYHMIS Annual Invoices
Kentucky Homeless Management Information Systems (KYHMIS) Annual User License for the fiscal year beginning Saturday, July 1, 2017, have been sent to all agencies in the Balance of State (BoS) and Lexington Continuum of Care (CoC) regions. Emails were sent to the contact person listed in the PNC Payment System. If an agency did not receive an invoice, please update the contact information in the PNC system and notify the HCA Help Desk .

Agencies are reminded that all payments must be made by electronic transfer of funds using the PNC Payment System. Paper checks will not be accepted. A late fee of 10 percent will be added to all unpaid invoices on Tuesday, August 1, 2017.

KYHMIS Annual Documentation and Training To Avoid Deactivation 
Every year, all KYHMIS agencies complete the user documentation for KYHMIS. Each person that has a license in the KYHMIS System will need to complete the documentation. All BoS agencies will need to complete these documents and send them in through the HCA Help Desk. In the subject line, please include HMIS Annual Documentation. Agencies only need to send one help desk ticket with all user documentation attached. Each KYHMIS user will need to read and sign the 2017 KYHMIS External Policies and Procedures, as well as a 2017 Security Monitoring Form. You will only need one Security Monitoring Form per agency.

Individuals should watch the HMIS Security and Privacy Training before signing the 2017 Security Monitoring Form. During this time, KYHMIS staff encourages users to watch the HMIS Training Videos (HMIS 101 Training, HMIS 102 Training, and HMIS 103 Training; and the Recovery Kentucky Training Video for our Recovery agencies) as annual HMIS Training Refresher Courses. No homework is required with this refresher.

New this year, each user will be asked to watch the refresher courses at the same time to get every user on the same schedule. We understand that you may have recently watched these videos, but we ask that you watch them again for user consistency purposes. Please complete all training requirements, documentation, and submit to the HCA Help Desk by Monday, July 31, 2017.

If KYHMIS staff does not receive user documentation and/or is unable to confirm that the user has watched the refresher courses, we will deactivate the user from HMIS until they are able to do so. If you have any questions, please contact the HCA Help Desk
