Changes to Data Request Procedures

In our most recent CoC Board Meeting, our community approved a new-and-improved process for HMIS Data Requests, which officially went live Monday, June 2nd. The changes made to this procedure were designed to help us better prioritize community requests and to help us more efficiently collect the necessary information up front.


These changes apply to both Agency-level data requests and Community-level data requests.


For any Agency-level requests (which includes any request from a Contributory HMIS Organization wishing to receive data for projects they own or jointly own), agencies will submit their request through the HMIS Data Request form, which can be found on the HMIS website. The request will be sent to the HMIS Team for approval, and the requestor will receive an estimated timeline based on priority within two business days.


Community-level requests (which include requests from participating or non-participating entities who are seeking data beyond the HMIS Data Ownership policies) may submit requests through the Close to Home website. Close to Home will send any approved requests to the HMIS Team for processing.


Agencies wishing to receive data from other community projects will be required to sign one Data Use Agreement per year.

New Merge Report Available!

We are happy to announce that a brand-new report is now available for all Tier 2 and Tier 3 users!


The Client Merge Log will allow users to view Client IDs that have been merged into older profiles*. If a known Client ID has mysteriously disappeared, you can now use this custom report to check if it has merged and find the surviving profile, without submitting a ticket. This page can be found by clicking:


Reports (top) > Operational (left) > Client Merge Log

This report allows searches using either the surviving Client ID or the merged Client ID. If the merge occurred before 3/25/25, it will not appear on the log. If a missing profile still cannot be located after using this tool, please submit a ticket to HMIS.Support@Havenforhope.org so we can further assist.


*Merges occur automatically each night when client profiles contain the exact same full names, social security numbers, and dates of birth. The oldest profiles (lowest number) will always become the primary profile. If a duplicate profile has been created accidentally, a support ticket is not necessary to activate the merge. If the duplicate is still active the following day, please send us a ticket so that we can monitor.

Changes to Deactivated Projects Listing

Starting Monday, June 9th, our team will be switching the deactivated project identifier from a tilde (~) to "zz". This change is meant to save our users time when pulling reports for their active projects, without having to first wade through all projects that are no longer serving clients in the community.


Example: ~Test HMIS ES will become zz - Test HMIS ES

Reminder: Changes to HMIS Training Environment

Our team has made major changes to the way users can practice entering data in HMIS. The original Training Environment will no longer be available, and all accounts at the existing links have been deactivated.


Instead, we have created a new training center within the existing Live Environment that allows users to safely practice HMIS entry without having to use a separate link. This new training area will still have ready-made test clients and test enrollments to use, but you will still be able to create new profiles to test as needed.


To access the Training Environment, click the arrow in the upper-righthand corner near your name, and change the Organization to "Training Organization."

Reminder: Reflecting Changes in Housing in Permanent Housing Projects

Are you unsure what to do in HMIS if a client leaves their living situation, but is still participating in your Permanent Housing project? Have you ever wondered how to reflect a client moving from unit to unit?


Fear not, because the HUD Data Standards has answers! If you work with any participating Permanent Housing project (Including PH, PSH, and RRH), please review the following excerpt from the most recent HMIS Data Standards Manual to help guide you through these potential scenarios, and more:


"If the client vacates a housing situation and the project stops paying rental assistance, staff should exit the client from the project with an accurate 'Project Exit Date' and 'Destination' and create a new 'Project Start Date' in a second enrollment for the client on the same or following day. The 'Prior Living Situation' in the new enrollment must reflect the location where the client slept the night before the new Project Start Date.' The project should continue working with the client until a new unit is found, at which point a new 'Housing Move-In Date' would be recorded on the second project record. This will ensure that the client's history of housing is preserved.


If the client moves directly from one unit into another unit, with no days of homelessness in between, it is not necessary to exit and re-enter them because their 'Housing Move-In Date' would still accurately reflect the day they entered permanent housing within that enrollment record.


If a client is transferred into a PSH, RRH, or other permanent housing project having already moved into a permanent housing unit, the client's 'Project Start Date' and 'Housing Move-In Date' will be the same date. It is not appropriate to have the 'Housing Move-In Date' reflect the original move-in, since the purpose of the date element is to distinguish between housed and homeless statuses during a single enrollment."
