As we wrap up a busy school year, now is the time to celebrate your work and successes of the past school year! Take a minute to brainstorm with your Board; write down the impact you've made over the past year; and share it out with your school community.

Bylaws Update

At the 2024 All-Unit Annual Meeting, voting delegates approved changes to the bylaws that govern Local Units (including SEPTAs), Councils, and Virginia PTA.


Your PTA does not need to do anything to adopt these changes. Please simply refer to the current 2024 Bylaws for your work.

Notable changes include:

  • Consolidate Local Unit Bylaws (including SEPTA) and Council Bylaws into one document.
  • Annual proof of insurance coverage is now due August 1st, instead of June 15th. Please continue to re-upload your current coverage document when you renew your insurance.
  • Re-affirm ability to sell PTA memberships prior to the start of the new fiscal year.
  • Allow monthly membership dues payments to accumulate until more than 5 memberships are payable before the dues have to be submitted, to cut down on transaction fees.
  • Provide clarity around how to remove an officer "for cause"
  • Clarify that student members may serve as Committee Chairs but not as elected officers, because of the fiduciary duty under Virginia law.
  • Specify that nonpayment of Council dues impacts a local unit's ability to participate in Council business.
  • Remove ambiguity to specify that the $500 limit on expenditures exceeding an adopted budget applies across all line items.

Officer contact information and Principal contact information should be entered in MemberHub/Givebacks by June 15th EVERY YEAR. Committee Chairs can be added as they are appointed. Even if you are still working to fill a vacant position, you should enter the officers that you have as of June 15th.

Ready to Promote Membership

for the 2024-2025 School Year?


Did You Know? Many PTAs start their membership campaigns in the Spring during open house events for rising Elementary, Middle, or High School students.


It's a great time to share your PTA accomplishments for the year, and encourage families to join PTA and sign-up to help with PTA events next year.


Sales in Givebacks/MemberHub

From March 1 to June 30th, you can enable the ability to sell memberships for both the 2023-2024 and the 2024-2025 school year. If you don't see this option in your Givebacks Account, please contact Givebacks/MemberHub and ask for this feature be enabled for your PTA.


Recordkeeping

Please remember to record membership sales for the 2024-2025 school year in a separate line-item from your 2023-2024 sales. Current year membership sales should be remitted to Virginia PTA monthly, and no later than June 30th.

Advance Membership sales for the 2024-2025 membership year, should be remitted to Virginia PTA starting on July 1.

Learn the basics of how to develop your PTA budget and provide transparent monthly reporting. We’ll cover the financial basics of event record keeping, how to manage principal financial requests, and how to identify opportunities to advocate for better school funding instead of fundraising.

Is your PTA appropriately protected? Are you protected as an officer? Join this workshop presented by AIM Insurance to learn the basics of why PTAs need insurance, what the different types of coverage protect against, what to consider when selecting coverage for your PTA, and how to use your insurance coverage when a problem arises.

Join us for this workshop on how to build advocacy with your PTA and school community. We will give an overview of advocacy causes and an overview of how PTA advocates for legislation each state legislative session at the General Assembly in January.

Join this workshop for Secretaries and Treasurers to learn all of the basics for keeping electronic books, recording minutes, and establishing a strong record-keeping system for your PTA.

Annually, your PTA is required to submit six (6) items to Virginia PTA so that we can maintain your 501(c)3 tax-exempt status. Items should be uploaded in July, to wrap-up the 2023-2024 school year, and put your PTA in Good Standing to start the 2024-2025 School Year.
