Dear Kids Health First (KHF) Providers and Practice Administrators,

We have some important updates about payor updates, new programs, and upcoming events. There's a lot of information, and we want to keep you informed. Please read through this email carefully and let us know if you have any questions.

Important Updates

May KHF Practice Administrator Meeting Recording & Materials Available

If you were unable to attend the May 21, 2026 KHF Practice Administrator Meeting, the presentation slides and meeting recording are now available for review.

Of particular interest, Brent Reece of Sterling Seacrest Pritchard and Matt Kiewit of McKesson opened the meeting with an important discussion regarding upcoming ADA Section 504 accessibility requirements and the approaching compliance deadline. Their presentation included practical guidance for pediatric practices as they assess medical diagnostic equipment needs, including accessible exam tables, weight scales and other patient care equipment.

Practice administrators and office leaders are encouraged to review this portion of the meeting to better understand the requirements and begin planning for any necessary operational or equipment updates.

Website Accessibility Compliance Deadlines Approaching for Healthcare Practices

Healthcare practices that receive federal financial assistance should be aware of updated accessibility requirements for websites and mobile applications under Section 504 of the Rehabilitation Act.

Under the new rule, covered organizations must ensure their web content and mobile applications meet Web Content Accessibility Guidelines (WCAG) 2.1 Level A and AA standards, making digital resources accessible and usable for individuals with disabilities.

Key compliance deadlines include:

  • May 11, 2027: Practices with 15 or more employees must comply.
  • May 10, 2028: Practices with fewer than 15 employees must comply.

Practices are encouraged to begin evaluating their websites and patient-facing digital resources now. Consider connecting with your website vendor, IT partner, or web developer to assess current accessibility standards and develop a compliance plan.

View the attached Sterling Seacrest Pritchard client brief for additional details and guidance regarding the Section 504 website accessibility requirements.

McKesson Credit Card Fee Notice Sent in Error

KHF would like to make participating practices aware of an important clarification regarding recent communications from McKesson Medical-Surgical.

Several KHF practices enrolled under the McKesson contract recently received a notice indicating that McKesson would begin charging credit card processing fees. After discussions with McKesson, it was confirmed that this communication was sent to certain KHF practices in error.

McKesson has provided written confirmation that the credit card processing fee does not apply to accounts participating under the contract at this time. McKesson also noted that practices will be notified proactively should this status change in the future. ACH and debit card payments remain fee-free payment options.

View the McKesson clarification letter here.

Practice administrators who received the original notification can disregard the credit card fee communication.

Georgia Medicaid Telehealth Guidance Update

KHF practices are encouraged to review an important update included in the Georgia Department of Community Health's April 1, 2026 Telehealth Guidance Manual.

According to the updated guidance, Georgia Medicaid has not adopted the 2025 telemedicine CPT codes (98000–98016) at this time. Practices should continue to follow current Georgia Medicaid telehealth billing policies and approved coding guidance when submitting claims.

Practice administrators, physicians, billers, coders, and revenue cycle teams are encouraged to review the updated manual and share this information with appropriate staff to help ensure accurate claims submission and reimbursement.

Access the April 2026 Georgia Medicaid Telehealth Guidance Manual here.

KHF will continue to share updates as additional guidance regarding telehealth coding and reimbursement becomes available.

July 4 Holiday Scheduling Benchmarking

With Independence Day falling on a Saturday this year, KHF surveyed member practices about their holiday scheduling plans. The most common approach was to close on Friday, July 3, and provide holiday pay to staff who would normally work that day. Other practices reported remaining open on July 3, offering floating holidays, or adjusting office hours.

The survey also found that nearly 80% of responding practices maintain a written holiday policy in their employee handbook or personnel policies and procedures manual.

Legal Considerations in Office Management Resources & New Garnishment Guidance Available

Last week, KHF shared the recording of "Legal Considerations in Office Management," presented by Brent S. Reece, JD, CPCU of Sterling Seacrest Pritchard. Members are encouraged to revisit this valuable webinar, which covers important legal and operational considerations impacting pediatric practices.

In addition, Sterling Seacrest Pritchard has released a new client reminder addressing employee garnishment actions in Georgia. The brief outlines employer responsibilities when served with a garnishment action, including payroll withholding requirements, court filing deadlines, and common pitfalls that can expose practices to financial liability if not handled properly.

Practice administrators, office managers, and HR personnel are encouraged to review both resources and ensure internal processes are aligned with current requirements.
