We have some important updates about payor updates, new programs, and upcoming events. There's a lot of information, and we want to keep you informed. Please read through this email carefully and let us know if you have any questions.


Important Updates

Reminder: Winter Weather Preparedness Reminder for KHF Practices


Freezing temperatures and the potential for ice are forecasted across the Atlanta area over the coming days, increasing the risk of burst pipes, power outages, and access disruptions. Past winter weather events have caused significant damage and downtime for several Kids Health First practices—now is the time to prepare.


Key Actions to Take Now


  • Open cabinet doors overnight and allow exterior-facing faucets to drip
  • Insulate exposed pipes and keep thermostats set no lower than 55°F
  • Confirm emergency contacts, staff phone trees, and weather alerts are up to date
  • Move critical equipment and files off the floor; test backup generators
  • Review vaccine storage contingency plans and follow VFC emergency guidance


Review Your Inclement Weather Plan


With icy conditions possible, ensure your policy clearly outlines closure decisions, staff and patient notifications, and pay/PTO considerations.


Taking proactive steps now can help protect your facility, safeguard vaccine supply, and maintain continuity of care during winter weather events.

Overtime & PTO: Quick Payroll Reminder


A brief Q&A from the HR experts at Vxtra clarifies how overtime should be calculated when employees use PTO. In general, overtime is only required when a non-exempt employee works more than 40 hours in a workweek—paid time off (vacation, sick time, holidays) does not count toward overtime hours.
