School nutrition/physical activity forum

The district shall permit community participation in the student wellness process by holding an advertised public forum by Jan. 31 of each year, to present a plan to improve the school nutrition and physical activities in the district in accordance with KRS 158.856.

Has your district made changes to the free and reduced-price (FR) or Community Eligibility Provision (CEP) school nutrition provisions recently? If so, it may require a change in policy and/or procedure. Contact your assigned consultant for assistance with appropriate language and/or drafts.

Budget planning and adoption 

On or before Jan. 31, the board shall formally and publicly examine a detailed estimate of revenues and proposed expenditures by line item for the following fiscal year. On or before May 30, the board shall adopt a tentative working budget, which includes a minimum reserve of 2% of the total budget.

Hiring

Certified employees may be appointed by the superintendent for any school year at any time after Feb. 1 preceding the beginning of the school year.

Staffing allocations

Each local board shall provide each school council notice of a tentative staffing and budget allocation for the coming fiscal year by March 1.

Any revisions made to the district’s policy/guidelines (whichever contains specific formula information) for the next school year shall be forwarded to the Kentucky Department of Education by May 1 of each year.

Annual update preparation

Policy staff are already working on the upcoming 2024 Annual Policy/Procedure Update to be sent to districts in late May. In the meantime, you may want to review any outstanding draft policies or procedures, particularly any older outstanding drafts. To avoid overlap, the annual update process is often made smoother if outstanding drafts have been acted on, reviewed, or deleted if no longer under consideration. Please contact your assigned policy consultant any time you are considering making a change or for additional information on this process.

Regular meetings/organizational meetings


At a meeting in January, the board shall adopt a schedule of regular meetings for the calendar year, identifying the date, time and place of each meeting.

The first meeting in January shall be an organizational meeting for the purpose of electing a chairman and vice chairman.

Annual practices/drills


A building lockdown practice shall be implemented at least twice during each school year. At a minimum, lockdown drills are to be held during the first 30 instructional days of the school year and in January. As directed by the superintendent, the principal or other building supervisor shall document that the practice has occurred.

Severe weather/tornado and safe area evacuation drills are to be held during the first 30 instructional days of the school year and in January. Designated school primary and secondary evacuation routes are to be posted by any doorway used for evacuation.

Mileage rate update


If your district reimburses for mileage at the state rate, be advised that the rate per mile effective Jan. 1 – April 30, 2024, is $0.43 cents per mile. This information can be reviewed quarterly via this link:
