Company Newsletter

Good morning, Kipunians!

Welcome to the latest edition of our bi-monthly company newsletter! As we step into August, we are delighted to keep you updated on all the exciting developments and accomplishments happening within our organization. This newsletter serves as a platform to celebrate the hard work and dedication of our employees, share important updates on projects, and highlight the milestones we've achieved together. It's also an opportunity to acknowledge the incredible talent that drives our success and fosters a collaborative work culture. As we continue to strive for excellence, we thank each and every one of you for your commitment to our shared vision. We hope you find this newsletter both informative and inspiring, and we look forward to another fruitful month ahead.

Let's start with reviewing some significant and positive changes taking place within our company. The search for CEO has ended, welcome Carina Edwards to the Kipu team. We have successfully moved HQ and the new office is beautiful. The Kipu EMR is HITRUST-certified, a huge accomplishment which will set us apart from competitors. Software bookings were $7.1 million in Q2. Sales is crushing it, accounting for 45% of that. IT is faster than Jimmy Johns delivery, averaging 387 tickets per month with a 3-5min resolution time frame. Finally, shout out to the Implementation team for a record go-lives of $4.3million in Q2.

Wow, let's keep that momentum team!

Encounter Model

Working on: User acceptance interviews to help us iterate often and early on.

What's the plan:

  • A staged approach that introduces Encounters over time, starting with V1 to keep ‘Classic UI’ while introducing new ability for patients to transfer across locations in Master Instances; Encounters will be created in the background.
  • Build a ‘Check-In’ engine allowing Encounters to be created via a workflow connected to Scheduler, Portal, Queues, etc.

What's next: Validate and QA test new the database mode, then develop a Beta launch plan for 10 ICP (ideal customer profile) customers by the end of the year.

Avea Integration

We are striving to build the best-in-class end-to-end revenue cycle management solution in the behavioral health space. The team is working towards increasing client retention, opening target ICP, and providing upsell opportunities. During Q3, the team will be working on enabling sales to sell the integrated solution to small and mid-market CMD clients (& increasing NPS) through the following enhancements: single line claim edits, combined service sets, payor rules, and billing report enhancements. Find out more details on our Confluence site, click here.

Last quarter the team (+ Shane Carroll) met in Nashville for “Tour de Kipu” where the team connected with multiple clients over 3 days. Additionally, Vickie Nolan joined the team for the final day to discuss client feedback on competitor solutions. No trip to Nashville is complete without BBQ banana pudding so the team met up with Karra Williams at Edley’s. Finally, the team had the opportunity to attend Nashville Treatment Solutions 3rd anniversary party where individuals came up to us all night telling us how much they loved Kipu!

CRM Roadmap

Kipu CRM NPS score went from -2 to 22! IMPRESSIVE. How did we get here? The team used market-in feedback (i.e. client interviews, NPS feedback, Productboard insights, internal stakeholder feedback, etc.) to prioritize their roadmap. The team even hosted the first Kipu CRM user group, which was an open forum to discuss new features, review the roadmap, receive feedback, and understand pain points with clients. The team is continuing to take feedback and re-prioritize the CRM roadmap as needed. During Q3, the CRM development is focusing on security items and the product team will be focused on external communication, training, and gathering insights.

Other things happening in Product

Scheduler

Focus: Addressing market-in feedback to drive adoption by new customers and conversion by existing legacy calendar customers.

Recent and upcoming releases include enhancements to Group Sessions, Overlapping Appointments, Backdated Updates, and Self Blocks

Click here for the recording of the training session that provides additional information.

While Product and Engineering continue to develop valuable enhancements, the cross-functional Rollout Team continues to review critical workflows with identified high-need customers, assign approved customers to cohorts, and deliver Scheduler enablement.

Check out the release notes here.

Dr First E-Prescribe & FDB Meds Database

Focus: Integrating First Data Bank (FDB) as our drug reference library and integrating DrFirst’s Rcopia solution for electronic prescribing.

Benefits: FDB will improve medication search, ensure standardization of the drug library, provide additional features (e.g., drug interaction checking and dose range alerts), and allow us to integrate with DrFirst’s Rcopia electronic prescribing solution, which will provide enhanced functionality for e-prescribing (e.g., bidirectional integration between Kipu EMR and Rcopia, dose and interaction alerts, pharmacy messages, optional in-app access to PDMP).

Product and Engineering are finalizing required certifications, and the cross-functional Rollout Team is formalizing the beta launch plan with 3 beta partner customers and preparing to use beta findings to refine the go-forward rollout plan, focused on mitigating risk and defining the scalability strategy.

Implementation Roudup

The Implementation Team hosted a MAT Training at Headquarters during DASH Week. Led by MAT Team Lead Mandy Misiura, 11 cross-functional Kipunians were led through two-and-a-half days of intensive MAT training including getting hands-on with a medication pump, lessons on using respectful industry terminology, and colorful, real-life accounts of the intensity of working in a MAT facility. At the end of the event, the attendees agreed that MAT 'wasn't as complicated as we thought' and that training onsite with their peers was invaluable!

Thank you to everyone who attended and a HUGE shout-out to Mandy whose passion for our MAT clients was inspiring and contagious!

New in Education

The Client Education team has been hard at work publishing a slew of new courses in our client-facing Academy:

  1. Kipu EMR Overview (25 min): This short course provides an overview of the Kipu EMR platform and tips for managing your Kipu EMR user profile (including how to reset a forgotten password). This course applies to every new EMR user and is a game-changing entry point for new Kipu users, especially those outside of implementation. Kudos to Pablo for bringing this dream to life.
  2.  CRM User Management (60 min) and CRM Settings (60 min): These two new CRM courses are the first entries into our CRM Super User course series and cover topics that previously could only be trained live. This is a huge win for the CRM implementation and support teams and our clients! Thank you, Orlando, for your tireless work in tackling this next phase of CRM coursework!
  3. MAT Settings (60 min) and Advanced MAT Settings (60 min): These two new MAT courses walk Super Admins through the process of configuring MAT for their instance and common troubleshooting scenarios. Additionally, the feature-specific course describes how to set up Phases, MAT Flags, Queues, and Kiosk. While MAT may currently represent a small segment of our clients, the level of training and knowledge required to use our MAT platform is quite high, making it difficult to adopt and support. Huge shout out to Amarelys for taking on this challenge and building detailed and helpful courses on this complex topic!
  4. Kipu EMR + Avea Configuration (90 min): This course helps users configure rendering providers and services (per-diem and ancillary) in both the EMR and Avea to ensure the correct services are recorded and transmitted successfully.
