SUBJECT: WE URGENTLY NEED YOUR PROXY FOR THE ANNUAL MEETING
 
THE FACTS
  1.  Our Annual Meeting is scheduled for Saturday, February 29, 2020 at 10:00AM at the KCV clubhouse.
  2. In order to hold the meeting we must have 10% of our ownership present in person or by proxy. Since there are 657 owners at KCV, we need 67 owners present, in person or by proxy.
  3. Every year we work very hard to put together a program to inform everyone about everything we have done during the past year and encourage every owner to attend the meeting. Every year it is a major struggle to get 67 people to attend, or even to sign a proxy and return it to us. 

THE PROBLEM
  1.  Despite all the hard work getting ready for the meeting, so far we are getting practically NO response. 
  2.  It costs money and a lot of work to get ready again and there is no guarantees we can have a great program for a meeting at a later date with all this great information.
  3.  As members of our Board of Directors, it is extremely frustrating to see the lack of appreciation for our efforts. WE NEED YOUR HELP RIGHT AWAY!

HOW CAN YOU HELP
  1. If at all possible, please attend the meeting. We think you will be happy that you did.
  2. Even if you plan to attend, we recognize things come up that are beyond your control. SO SIGN AND RETURN A PROXY RIGHT AWAY. IF YOU DO COME AFTER ALL, WE WILL RETURN THE PROXY TO YOU AND YOU WILL BE ABLE TO VOTE ON ANY BUSINESS IF YOU ARE PRESENT. 
  3. You have nothing to lose by signing and returning the proxy now.

  1. Grand Prairie Deputy City Manager will update us on new projects underway and new businesses coming soon that will positively affect all Grand Prairie Homeowners
  2. Members of Grand Prairie Police Department will discuss ways to lower and control neighborhood crime rate
  3. Code Enforcement will be at the meeting to discuss City of Grand Prairie Enforcement policies
  4. Hear Board of Directors tell attendees about all improvements affecting owners accomplished during 2019 and describe plans for 2020
  5. Learn about the new website and E- Newsletter
  6. Management Company will describe the financial condition of the HOA now and the outlook for the future. 
  7. Have a voice in the selection of our new Board Member and if interested, run for the Board. This would give you a chance to contribute toward the improvement in our neighborhood and increase in value of your home
  8. If your dues were paid for 2020 by December 31, you have a chance to participate in a drawing where one lucky owner will receive a refund of their dues
  9. Real Estate Broker Ashley Smith will give a free consultation with property tax exemption information

Matt will be at the clubhouse, run a signed proxy by, Matt will only be accepting proxies, he is not running the gift card event. He will make sure BFMC Property Management is aware of what order proxies are received for processing purposes.

WE ARE OFFERING A HUGE INCENTIVE!

Have you already submitted your proxy? Why stop there?! We are offering a challenge to owners. If you can get additional proxies (in addition to your own) signed you could receive a $10 gift card for each proxy submitted to our offices. The proxy needs to be filled out by a KCV homeowner, they will need to put your name in the top corner, this will let us know you are their referral for the contest. The proxy must be emailed, faxed, mailed, hand delivered to the clubhouse on dates listed above or hand delivered to our main offices in Dallas. The owner can submit or you can submit for them, you must have their permission.

THIS IS A FIRST COME FIRST SERVE OFFER AND THERE IS NO LIMIT TO THE NUMBER OF GIFT CARDS ONE WILL RECEIVE UNTIL ALL 20 ARE GONE! TOTAL $200.00.

Prior to issuing gift cards to the winners BFMC Property Management will verify all proxies are valid.

In past years, the Association has not always been successful in establishing a quorum at the first attempt to hold the Annual meeting. The legal requirements now make it even more difficult to establish a quorum. We are asking ALL OWNERS to complete a Proxy so that you can be counted as present even if you are not in attendance. In order to complete the Proxy properly, you MUST indicate the name of the person you want to vote on your behalf. If you do not know any other owner who will be attending the meeting, the directors identified below are expected to attend.

Again, even if you plan on attending the meeting in person, please complete the proxy and return it by 5:00 p.m. on February 26, 2020. This will help ensure a quorum is present in the event you cannot attend at the last minute. If you send in a Proxy and then attend in person, the Proxy will be returned to you and you can vote in person at the meeting. Please fax or mail the proxy so it will be in the hands of BFMC Property Management by February 26, 2020. If you have any questions, contact BFMC at 972-644-3801.


REMEMBER, one lucky homeowner who attends the meeting and paid their 2020 dues by December 31, 2019 (plus any other outstanding balances) will win a FULL REFUND OF THEIR 2020 DUES.
