We are thrilled you will be joining us for the 2025 American Cancer Society National Colorectal Cancer Roundtable Annual Meeting (ACS NCCRT) next week! Please read on for important logistical information. Much of this information is also included on the 2025 ACS NCCRT Annual Meeting Speaker Information page, so please bookmark it or save this email for reference before you travel. 


Meeting Date & Time

Conference sessions will begin on Wednesday, November 19 at 1:00 PM CST. The meeting is scheduled to adjourn at 12:00 PM CST on Friday, November 21.The agenda can be found on our meeting webpage along with additional Frequently Asked Questions covering things like local recommendations and dress code.

Speaker Preparation

  • All slides will be loaded for you and all speakers will be able to advance their own slides.
  • A timer or timekeeper will be in the audience to assist with keeping time.  
  • If you will be speaking in the general session in the ballroom, please also plan to sit toward the front of the room on the day of your presentation. A confidence monitor will be available to allow you to view the slides as you speak.  
  • If you are speaking in a concurrent session, please plan to arrive at your session room at least five minutes ahead of the start time to ensure your slides are loaded correctly and to ensure you are comfortable with the technology.  
  • You should have had a prep session with our team in advance of the meeting. If you have any outstanding concerns, please reach out to nccrt@cancer.org.  


Hotel Accommodations

If you requested a hotel room, you should have received your confirmation information already. While your room fee and tax are covered, you will be asked to share a credit card for incidentals. Please email nccrt@cancer.org if you have any questions.

Travel to Hotel 

Conveniently located in the heart of downtown Nashville, the DoubleTree by Hilton is only a 15-30 minute drive from the Nashville International Airport (BNA).


Lyft Pass

We are pleased to provide a Lyft Pass to make it easy for our speakers to reserve rides to and from your home airport, Nashville airport, and meeting hotel without the need to file for reimbursement. Your personal cell phone should receive a push notification invitation in the coming hour. Please follow the Lyft Pass instructions in this pdf or follow the prompts from your Lyft app to set up the Lyft Pass in advance of the meeting. Please contact nccrt@cancer.org with any questions. 


Parking

If you plan on driving, please keep a copy of your parking receipt to submit for reimbursement.  


Networking Receptions

There will be two receptions during the Annual Meeting that include light appetizers and a cash bar. They will take place at the following times: 

  • Wednesday, November 19: 5:00-6:00 PM CST  
  • Thursday, November 20: 5:00-6:30 PM CST  


Meals:  

  • Wednesday, November 19: Afternoon snacks and early evening light appetizers  
  • Thursday, November 20: Breakfast, lunch, afternoon snacks, and early evening light appetizers  
  • Friday, November 21: Breakfast and morning snacks 


Reimbursement

The ACS is covering reasonable travel expenses for our speakers and ACS NCCRT Leadership. Volunteers should thoroughly review the guidelines linked below to learn more about what is and isn’t eligible for reimbursement and for detailed directions on how to submit their expenses.  Please note that expenses and itemized receipts should be submitted within 30 days following the meeting. We will send reminders about reimbursement following the meeting, and we appreciate your attention to the following policies to ensure the appropriate and economical use of donor funds.
