Dear RHRP Audiologists,


We are committed to enhancing appointment documentation within our Provider Portal. To support this effort, we're pleased to announce that the Comprehensive Audiology Exam (CAE) form is now available electronically in Provider Portal when a CAE is scheduled. This enhancement streamlines documentation and eliminates the need for manual, paper-based workflows.


When a CAE is scheduled, providers will see an additional tab within the case that must be completed electronically. There is no longer a need to fill out the PDF version or email it separately. For reference or backup purposes, the PDF version will remain accessible through the Virtual Assistant when needed.


Description of service can be viewed in the 201-service bill. Complete all sections of the CAE form when the following services are requested:


  • Comprehensive audio exam/pure tone air and bone conduction testing (J2)


  • Acoustic reflex testing threshold (JJ1)


  • Audiometry – pure tone air and bone conduction testing (JJ3)


  • Speech audiometry threshold w/ speech recognition (JJ7)


  • Tympanometry (JJ9)


This electronic form will be available for appointments that were scheduled by Leidos QTC after April 14,2025

Reminder


  • Before conducting any hearing examination, providers are required to perform a lighted otoscopic examination to visualize the eardrums and confirm there are no contraindications present. If the eardrums are not visible, do not proceed with the hearing tests. Instead, document the issue in the Otoscopic/Lighted Ear Exam section and contact us to reschedule the Service Member. The SM should be referred to their primary care physician for further evaluation.

Please note: Cerumen removal is NOT authorized under any circumstance

  • To track a Service Member as a no show, providers or admin staff must select the No Show button on the Provider Portal appointment page then select the appropriate reasoning.
