To: Exhibitors, MAFP Spring Conference
Thank you for supporting family medicine by exhibiting at our upcoming MAFP Spring Conference, to be held April 21-23 at the Sheraton Refuge Hotel & Conference Center at 2200 Refuge Blvd, Flowood, MS 39232. We are excited to have more than 100 Family Physicians, Medical Students and Residents registered AND 37 Exhibits. On our MAFP Spring Conference website you will find lists of registrants, exhibitors and an updated agenda.
Please share this information with company representatives who will work your booth, as you are the company contact and the only one who will receive this memo.
NAME BADGES:
Please examine this list of Exhibitor Attendees and confirm who will attend from your booth. Please email Beth Embry if there are any additions or changes so we may make name badges in advance.
EXHIBIT SETUP
Setup will take place in Ballrooms B and C on Friday night from 6-8 pm. If you cannot make it Friday night, the room will be open Saturday beginning 6 am for setup. If you need electricity for your booth, please e-mail Beth Embry so we can make plans.
CONFERENCE SCHEDULE
We have posted a conference schedule and you can see when attendees will be in the exhibit hall. We have staggered the times each group will visit so you will have more one-on-one time with physicians and then residents and students. If a presentation ends early in any of the three sessions, the attendees will visit the exhibit hall. We wanted you to know you may have attendees visit during times that are not on their scheduled exhibit times.
EXHIBIT HOURS: Saturday, April 22, 7 am – 3:00 pm. If you wish to keep your exhibit up and stay for Sunday’s CME session from 8:30 am to 12 pm, we can accommodate you but we need to know in advance. Please e-mail Beth Embry if you’re interested in exhibiting Sunday.
POOLSIDE RECEPTION & DINNER
We are hosting a poolside reception and dinner at the adjournment of workshops on Saturday for our event attendees and you are cordially invited to attend as an exhibitor. Please wear your name badge to the event. Those who wish to attend MUST RSVP no later than Tuesday, April 18. RSVP here to Beth Embry.
PACKETS
Exhibitor packets will be placed on a table in the exhibit area. Your packet will include nametags, agenda, stamp for cards, etc. The attendees will be given an exhibitor card to take to each vendor. Please stamp their cards as you visit with them. We will have a prize drawing from stamped cards on Saturday for students and residents and one on Sunday for the physicians.
DOOR PRIZES
If you have a door prize to be given away during the meeting, please notify MAFP staff upon arrival. The prizes will be awarded during each of the sessions on Saturday and Sunday. Please attach your business card to the prize and leave with a staff member at the registration table.
ATTIRE
We encourage you to dress business casual during the conference. Please bring a jacket as the meeting rooms are sometimes cold.

Here is a map of the Sheraton conference center. The Exhibit Hall will be Grand Ballrooms B and C. You may enter from the North corner of the building.
