Vaccine Management 101

This webinar provides information on the various aspects of managing your state supplied vaccine inventory in the MIIS.

Inventory Decrementing Tool



The Inventory Decrementing Tool generates a list of vaccines that were not deducted from a provider’s inventory when saved to a patient’s record. The tool allows users to correct errors to the immunization record and correctly deduct vaccine doses from their inventory.

Top Strategies for Managing Patient Records


To ensure complete and accurate patient records, practices must manage their patient population within the MIIS. Below are the MDPH Top Strategies for Increasing Immunization Coverage Rates: Managing Patient Records as well as supplemental resources.


1. Report Immunizations

Reporting complete patient records ensures all information is available to make accurate assessments. This includes administered vaccines from your practice and historical information for immunizations administered outside your practice.


2. Manage Patient Active/Inactive Status

Confirm your patient population is up to date to prevent over representation on coverage reports which could lead to lower immunization rates for your practice. Patient status in the MIIS is either ‘Active’ or ‘Inactive.’ ‘Inactive’ patients will not be included when determining your coverage rates. 

3. Correct Data Errors

Look at your data. If it looks wrong, fix it. Quarterly data quality checks are vital to ensuring high quality data.


4. Add Clinical Comments When Necessary

When appropriate, enter clinical comments in the MIIS. Patients who have a documented contraindication or immunity in the MIIS will not be counted as incomplete when determining your coverage rates as these patients will not be identified by the MIIS forecasting module as requiring vaccination.


5. Manage Duplication Queues

Reviewing your practice’s patient/immunization deduplication queues and merging records that you know are for the same patient ensure that patient records are complete.

School Nurse MIIS Access


School nurses that are registered with the MIIS at a non-administering organization receive read-only access to student records in the MIIS. If you are a school nurse with read-only access and notice an issue with your student’s record, please reach out to the student’s Massachusetts provider as they will have the ability to edit their record in the MIIS directly. Alternatively, the student’s parent or guardian may utilize https://myvaxrecords.mass.gov/pages/Request to submit an amendment request for the student’s MIIS record.
