Dear Direct Member League/Club Representative,


Happy New Year from MSYSA! As you enter the new year, I encourage your league/club to take some simple steps to ensure that your Spring 2024 registration is efficient and correct.


One problematic issue that comes up frequently in Spring registrations is duplicate participant accounts. If your organization has a player/coach with more than one account, there is a possibility they can be invoiced twice in one season because they are registered with two separate accounts. GotSport will not see a second registration under a separate account as ‘subsequent’, but as an ‘initial’ registration. Initial registrations are invoiced. Eliminating duplicate accounts minimizes this risk significantly. This will save your club money and hassle by not paying for duplicate registrations and not having to correct player/coach accounts mid-season.



Where will I notice duplicate accounts?

You may notice duplicate accounts:

  • When you search for a participant under Club Management > Players or Coaches. Please be aware: sometimes a participant account with multiple roles within your club can appear on this list looking like two accounts. If only the affiliate or competitive levels are different, then it is most likely the same account, but the system is listing them separately because of the different roles. You can always connect with Elizabeth Satterley if you are not sure.
  • Under Club Management > Roster Builder you may see two accounts listed for one player/coach when you are trying to add them to a team roster.
  • Under Club Management > Dashboard > if your club has duplicate accounts that can be merged, they will be noted on this page in red. 


Note: Some clubs will have many duplicates, and some will have few or none. Duplicates most often occur when accounts are created with different email addresses from that which was previously used or when they are uploaded with incorrect DOBs or street addresses.



How can my club correct duplicate accounts?

  • To correct duplicate accounts that are ready to be merged, click here for detailed instructions.
  • If you have duplicate accounts with mismatched name, DOB or address information, you can attempt to edit the account information to match. If you can make the account information match, they will appear when you complete the steps in the link above.
