Dear Residents of Traditions at Vizcaya,
Recently we have seen some misinformation circulating on social media regarding messages shared in the community Facebook group, and we want to clear up any lingering confusion.
Purchase and Installation of Concrete Stage
The Social Committee recognized the need to invest in our community by proposing the installation of a 19' x 19' concrete stage. Initially, a temporary stage was considered, but there wasn't enough storage space for a temporary stage between events. Based on past activities and expenses, it was clear that having a permanent stage would be more sustainable and cost-effective in the long run. Previously, the community rented stages when needed, which incurred significant expenses. The bids for the project came back at $28,578, $11,365.25, and $8,675, and the Board approved the $8,675 bid, during the February workshop after carefully considering potential events and expenses. Before signing the contract ,the Board requested Management request a discount, and the vendor provided a 5% discount, for a total expense of $8,241.25.
By having a permanent stage, we can eliminate the time and resources required to find vendors and secure venues. Additionally, the stage provides a platform for various community events, such as talent shows, event DJs, photo booths, and more. Overall, installing the stage is a proactive step towards building a sustainable and thriving community for all.
Board Spending Authority
The Board has the authority to approve Association expenses without setting a spending threshold beforehand. However, they recognize the importance of community enhancements and did seek resident feedback before deciding to install amenities such as shade structures, playgrounds, and sports courts. The Board values transparency and may use public meetings, surveys, or comments to gather feedback and make informed decisions moving forward.
Consideration of an Easter Event for 2023
The Social Committee's first meeting on March 28, 2023, was a great success! Part of this agenda included the discussion of an Easter event. The Committee members were enthusiastic and collaborative in planning this event, which will take place on April 8, 2023, from 10 AM to 12 PM, with a budget of $1000.
Following that Social Committee meeting, Management sent out a “Save the Date” and obtained approval from the Board. This event fits perfectly within the Social Event budget for the community and we’ve already received great responses to the RSVP and volunteer registration.
We want to commend the Committee for their hard work and dedication in deciding to hold this even on such short notice, and we cannot wait to see the community come together and enjoy themselves. We look forward to more successful events like this in the future!
Pre-planned Events & Budgets
The Social Committee will establish the 2023 budget for community events following the Easter event. The annual social event budget for Traditions is $15,000, and no expenses have been incurred as of the February 28, 2023 financials. The Committee will propose a calendar and budget for the remainder of the year, considering the community's preferences and interests. The Board is committed to providing quality events that promote social cohesion and enrich the lives of residents.
