How to Host Your In-Office Awards Watch Party

We loved seeing photos of last year's in-office Awards celebrations. It was evident all across social media that our managers and office staff dedicated a lot of time and effort to creating a unique experience for their agents.

This year, we have developed some helpful tips and links to refer to as you plan your best-ever in-office Awards watch party!

1. Budget Reminder: Each branch office has a $250 budget to spend on décor, plus $17 per registered/RSVP'd attendee for food and beverage (including the cost of a champagne toast). Be sure to use the RSVP list template to keep track of the headcount for ordering food and beverage. Then, use your expense report to submit all receipts, including food, beverage and decor.
2. Catering Tip: There are no rules on where or how you obtain food and beverage. However, the events team has had great success in utilizing local grocery stores with catering departments. You should be able to provide your budget and headcount, and the catering group can offer recommendations. Some offices may choose to go a different route by buying snacks in bulk from places like Sam's Club, Costco or Amazon. Both options are sure to be a hit!
3. Shopping Recommendations: The Production team compiled a list of suggested showtime essentials to enhance the watch party experience for your agents! There is no obligation to purchase everything on this list, but many of the items are great options that you'll be able to use again in the future.
4. In-Office Promotion: Hang your Save the Date poster in prominent places throughout your space. Keep your RSVP spreadsheet and a pen in the reception area so agents can't miss it.
5. Build Excitement on Social: Follow our social media checklist in the days leading up to the event, as well as during and after! Read through this document in advance so your designated "content creator(s)" are prepared and ready to go. Be sure to use the hashtags #HowardHanna #HHStrongerTogether and #HHAwards2023 for a chance to be featured on Howard Hanna's corporate social pages.
6. Make the Awards the Main Focus: When you're decorating your office, don't forget about the display of the awards themselves. You will be receiving award shipments throughout Awards week, so put some time into nicely arranging the awards on a long table, putting them in a user-friendly order, and covering the display with a tablecloth to keep them a secret until the day of the event. Then, reveal the awards during your watch party. This will make a much bigger splash than handing them out directly from the boxes they arrived in.

7. Prep the Room: The last thing you need is technical difficulties. Be sure to:
  • Test the audio-visual equipment 
  • Check the audio
  • Log on early
  • Have enough seating to accommodate guests
  • Make sure the presentation screen is visible from various angles in the space

8. Set Expectations with Agents: Make sure agents understand you want them present for the entirety of the event.
  • Arrive 10 minutes early to get settled and focused
  • Phones down - try to enjoy the show
  • Add 30 minutes on the back end to allow for conversation and celebration
