Updates to Services Page

Last month, our team made adjustments to the Services page with the goal of preventing accidental data errors when entering Service Dates.

The new and improved "+ Add New to Open Enrollment" button was fixed so that services dated more than 14 days in the future will be rejected and unable to save until the date is corrected. Whether you mistakenly type the year 2025 or 3024, the new form is intended to save you and your team from reporting flags later down the line.

New options on Services Page:

Example of new Future Date error:

We ask all users to continue using the button reading "+ Add New to Open Enrollment" when adding new client services through this page. If you experience any errors using this button, you may instead use the "+ Add New (Old Version)" to return to the previous iteration of the Add Service form. This should only be used if the updated version has failed to record the service accurately. The Old Version is planned to be removed May 15th.

If you experience issues with both forms or have any questions, please reach out to the HMIS Team at HMIS.Support@HavenforHope.org so that we may assist.

New Frontline Training Offering from HUD!

The HUD Exchange platform has recently launched a series of virtual reality immersion videos for frontline workers in the homeless services industry, viewable on both mobile and desktop devices.

These videos are intended to support data collectors, including Coordinated Entry (CE) assessors, shelter intake staff, street outreach workers, case managers, and anyone who collects sensitive and personal information. These videos can be used by individuals seeking to enhance their data collection practices. Agencies and/or CoC’s can use these videos, along with the facilitation guide, as part of their coordinated training approach.

Virtual/augmented reality video training is a growing trend in healthcare, social work, and even law enforcement, and studies indicate this method can lead to:

- Increased engagement with the subject,

- Higher rates of retention with the learning material,

and

- Better empathy towards future clients or patients.

If you are interested in this series, you can access the training, along with the facilitator's guide to help introduce your team to this information, by using the button below to take you to the Hud Exchange site:

Client-Centered Data Collection Approach: Virtual Reality Series

PIT/HIC has been submitted!

The HMIS Team is so happy to announce that the final 2024 Point in Time/Housing Inventory Count data was submitted this week! We would like to thank every one of our local agencies for their diligence and hard work in getting their final numbers over to us. We appreciate you all, and are so thankful to have such a wonderful and cooperative community of providers!

Updating Coordinated Entry Information

Reminder: Your client’s Coordinated Entry score does not update over time if the client remains in the same enrollment.

To represent your client’s most recent circumstances, you must add a "During" assessment to their current enrollment. This will update any changes in Length of Time Homeless, Disability Types, Income, Health Insurance, and Skilled Assessor Score. During assessments should be completed if the client's situation changes. but must not be completed more than once every two weeks.

Meet the Team!

This month we will be continuing our journey to introduce our HMIS to the rest of the community, so that you all can meet the incredible folks behind the screens.

Many of you may not be aware that the HMIS Team is now spread out all around the U.S., with 9 (soon to be 10!) team members currently living across 5 different states. Over the next couple of months, we will be highlighting the members of the best (in our opinion) HMIS squad in the business!
