Dear Service Providers:

Beginning in September 2025, the Los Angeles Homeless Services Authority (LAHSA) will implement an updated referral and matching process across all Interim Housing (IH) programs. This enhancement is designed to significantly reduce the time between an IH match and participant move-in by partially automating the intake scheduling process and eliminating the need for back-and-forth email coordination. This update is a part of the ongoing rollout of LAHSA’s enhanced Inventory Management System and reflects our continued commitment to streamlining access to interim housing and improving system efficiency.

Effective September 2nd, 2025, a new enhancement to the matching process will be implemented across all LAHSA-funded Interim Housing (IH) programs serving individuals Adults, Transitional Age Youth (TAY), and TAY Families. All matched programs are expected to adhere to the updated procedures outlined below.

Summary of the Enhancement

Once a participant is matched to an available IH bed, the system will automatically notify the participant’s case management team or referring party via email. This email will include a Calendly link that allows the referring party to immediately schedule an intake appointment at the assigned IH site. Calendly will be linked to the IH provider’s calendar and will reflect all available intake appointment times based on the intake coordinator’s schedule. Once an intake is scheduled, a confirmation email will be sent out along with a calendar hold to both the referring party and the receiving IH provider.

Key Process Updates

  • Once a match confirmation email is sent, the referring party will have 24 hours from the time of the match notification to use the Calendly link to schedule the intake for their participant.
  • Once the intake is scheduled, the participant will have an additional 24 hours to complete the intake at the IH site (total of 48 hours from initial match).
  • If no appointment is scheduled or the intake is not completed within the timeframes mentioned above, the match will expire, and the bed will be reassigned to the next eligible participant.
  • Note: To re-activate an expired match, please contact your matcher. The appointment you book for a client should be no further in the future than 48 hours from receipt of a match. Please make a concerted effort to attend the intake with your client and the on-site provider

This enhancement is designed to increase bed utilization, reduce delays in the placement process, and ensure that available IH resources are used as efficiently as possible.
