A Message from the President and CEO

Dear Melmark Community,

Over the past few weeks, I have witnessed a remarkable coming together, as every member of the Melmark team, across divisions in Pennsylvania, New England and The Carolinas has come together to put mission first for every individual, every day. They're working to stay ahead of each day's evolving information as it informs our decisions surrounding the health and safety of the individuals we serve. While monitoring the changing information coming from the CDC, as well as from our national and state public health officials, we are also taking all steps necessary to ensure the health of our staff. It is a remarkable time in our lives, and one we will emerge from together and stronger.

I'd like to begin by sharing how impressed I have been with our leadership team's ability to comprehend an enormous amount of information and to synthesize it quickly into our team preparedness process.
 
I have been in the field of human services for nearly forty years and have never experienced or anticipated anything like the scenarios we are working so hard to stay ahead of, given the rapid and all-encompassing spread of COVID-19. Who would have envisioned our current landscape - non-life-sustaining businesses shut down; ensuring safety by practicing social distancing and limiting visitors during this unprecedented period. We are working resourcefully to prioritize access to needed supplies and diligently researching every avenue for daily essentials, as well as addressing personal protective equipment needs  (N95 masks, gloves, isolation gowns and goggles). It is clear we are living and working through this pandemic, in the way Melmark has always worked - being focused on the best outcomes for those we serve. We are operating within each state Governor's guidance as well as making decisions in the framework of health and safety given the provision of care amidst COVID-19.

The decision to close our day programs was difficult, but as soon as public schools closed, we lost a significant amount of our workforce due to coverage issues for employees' own children. We had to stretch staff across our residential programs to continue serving those who call Melmark home. Even with these changes in coverage, we have asked families to take their loved one home if at all possible to ensure the well-being of individuals with the highest acuity. The reality is that we are living amidst a global pandemic, one in which we are taking appropriate precautions to continue Melmark's mission-first work.

For all of us at Melmark, our focus remains on the safety and well-being of the children and adults we serve, many of whom are too medically fragile or have behavioral challenges too severe to go home to their families; some who have no families to go home to. Our dedicated and highly-skilled staff continue to work selflessly, always putting the children and adults at Melmark first. I applaud them for their understanding that COVID-19 does not change our mission, even though it has greatly changed how we implement it.

Today's message includes the framework that will guide us through the coming days, weeks and perhaps months as we continue our very important work for our most vulnerable citizens. Members of Melmark's Leadership Team and COVID-19 Medical Subcommittee are in constant contact with one another, as they redesign best practices, tweaking and updating plans as evolving information surrounding this illness emerges. We are closely following news and recommendations from the CDC, the Massachusetts Department of Public Health, Pennsylvania Department of Health, North Carolina Department of Health and Human Services, and the South Carolina Department of Health and Environmental Control. We are working with advocacy and trade organizations throughout the regions in which our service divisions are located, sharing resources and collaborating with other providers. Our advocacy efforts stretch beyond state lines in Massachusetts, Pennsylvania, North and South Carolina, as we work to reshape legislation affecting all individuals with intellectual and developmental disabilities, autism and medical fragility - efforts that are more important today than ever.

Below are some of the ways we are working to mitigate the spread of COVID-19:

Melmark's Day Programs at all divisions are closed until further notice. We will continue to assess when we will be able to reopen these programs but will not do so until we are assured that the threat of contracting COVID-19 in our national and local environments is eliminated.  
 
While your loved one is home and away from his or her day program, we encourage you to coordinate video calls using platforms such as Facetime (iPhones), DUO (Android Phones) or Skype to maintain social interaction among family members and peers. Where we are able, our staff continue to provide support with daily schedules, icons and some lesson plans with corresponding materials (see school-specific message below).
While Melmark's Residential Programs remain open, no visitors are allowed into Melmark residences. We have also been contacting families to determine who may be able to take their love one who resides with us home for a period of time. Individuals and staff in our residential programs undergo regular health screenings to ensure no signs of COVID-19 go unnoticed/undiagnosed. We have stopped all community outings, including drive-through food pick up, take-out and meal delivery. Melmark staff are working to ensure social/physical distancing for all individuals and staff, and our employees have been instructed to practice physical distancing in line with the CDC's recommendations at all times outside of work. Our teams continue to practice and re-teach thorough hand washing.
Sanitizing and Prevention Practices

Melmark's program facilities staff have CDC-recommended sanitizing products and deep clean all residential and program areas across our divisions on a regular basis. As an added layer of protection, staff no longer hold meetings in person, but instead opt for phone and video conferences. Our health care team is also coordinating tele-health appointments when possible, to avoid an individual from going out for medical care and increasing risk of exposure. This only applies to non-COVID-19 symptoms. Any individual presenting with symptoms consistent with COVID-19 will be taken to an external medical facility immediately. Staff will be able to wear PPE, and the individual will be isolated as best they can be in a congregate setting.
As we move through this challenging period, staff presenting with these symptoms will be sent home immediately and instructed to contact his or her health care provider for testing. When staff present with symptoms other than those related to COVID-19, they are urged to utilize telehealth. We continue to monitor inventory of personal protective equipment (PPE) to ensure each staff has the necessary tools to do their job safely and to protect the individuals we serve. We are having difficulty where doctors are writing 14-day notes for employees with non-COVID-19 symptoms, which creates a workforce depletion. As all symptoms of other illnesses resolve, we are sending staff back to be re-assessed and to obtain clearance to return to work. We are also working with our own workforce members who are at high risk of COVID-19 complications due to their own underlying health issues.

We all look forward to the day we can once again shake hands, say hi to one another in person without having to stand six-feet apart, and share a conversation around the same table - all things we greatly took for granted before COVID-19. Until that time comes, please know that everything we do at Melmark is carefully planned and carried out with a mission-first focus.  
 
Over 130 years ago, Helen Keller said, "Alone we can do so little, together we can do so much." How true those words ring today, as we face this challenge. I know if we work together during a time in which we must remain physically apart, we will be successful in reaching our best outcomes. I know we will emerge from the uncertain days ahead with a renewed unity, a strengthened spirit, and an unstoppable resolve.

My wish is that each of you reading this remains safe and healthy during this public health crisis so that, when things do return to "normal", whatever that new normal may be, we can tell our children and grandchildren about the time we all came "together" as a community full of compassionate care to address a broader need to ensure the health and safety of the individuals at Melmark and beyond.
