Subject: New HOA Gate Entry System
The HOA will upgrade our gate entry system currently in use at all three of our neighborhood gates in the coming weeks to a new, modernized system provided by “
dwellingLIVE
”. Among other advantages, this system will utilize modern TollTag readers to open our gates. This will be similar to the recently implemented system now in use at The Four Seasons Sports Club.
This gate entry system upgrade includes several advantages for both you and the HOA, including:

Improved camera systems at all three gates
·
Improved resident vehicle registration data base (currently manually maintained)
·
Online capability for each resident to register permanent visitors, limited-time visitors, and party guest lists (currently maintained manually at the main gate).
Note - Information regarding this online tool will be provided in subsequent communications.

Visitor entry ticket printer at main gate to improve vehicle control and security in our HOA
·
Capability to produce one-time visitor entry “smartphone” bar codes for entry through the back gates
·
Improved vehicle entry control through total elimination of the current antiquated “clicker” system (prone to loss and security breaches)
·
Capability to utilize HOA-issued RFID tags for vehicles without a TollTag device (e.g., golf carts) or for those vehicles with windshields that inhibit the reading of a TollTag
Please note that the new gate entry system will NOT eliminate the HOA vehicle windshield decals now in use. These decals will still be used by the guards to recognize resident vehicles at the main gate, as well as to enable the identification of vehicles inside our HOA - for owner notification when required or to note which vehicles are non-resident (most commonly for parking problems).
The new system will require the HOA to collect and register TollTag numbers in the system for all resident vehicles, similar to the recent registration process at The Four Seasons Sports Club last year.
To facilitate the collection of the required data and reduce the start-up time for the new system, all residents are asked to complete an online vehicle registration form via the following link:
This form requires contact information for the primary resident and the ability to enter contact information for a secondary resident (e.g., spouse or family member). This information is essential to provide the guards or the HOA the capability to contact residents in case of system problems or problems with individual vehicles.
The form also asks permission to use the contact information for a new resident directory the HOA intends to publish later this year.
PLEASE ALLOW THE HOA TO USE YOUR RESIDENT CONTACT INFO IN THE NEW RESIDENT DIRECTORY BY ENTERING “YES” IN THE “OPT-IN” FIELD

Otherwise, collecting information on new residents and changes to long-time resident data is incredibly time-consuming and expensive.
The registration form requires information such as vehicle make & model, TollTag #, license plate #, and HOA windshield sticker #. Up to six (6) vehicles may be registered via this form. This includes any golf cart that will require a gate entry RFID tag, however, please note that most of us don’t require a golf cart gate opener unless we leave and return into the neighborhood via city streets.
If you are registering a golf cart, please enter “Golf Cart” in the vehicle “Make” field on the registration from.
The required information is similar to what has previously been collected manually for the issuance of neighborhood windshield stickers. Please note - the HOA does NOT have the capability of transcribing our current HOA handwritten vehicle notes into the new system - residents are being asked to submit this information at

At this point, the HOA anticipates operating the existing clicker system in parallel with the new TollTag-based system for a very limited time (i.e. a few weeks).
It is essential for all residents to respond to this notice and register their vehicle information as soon as possible. Once we have switched completely to the new system, unregistered vehicles will not be able to enter the neighborhood through the back gates.
Your TollTag numbers (8 digits) can be accessed through your NTTA TollTag account, or can be found printed on the TollTag device in your vehicle - see example image below.
