Greetings:
As noted in the December Employer Update, MainePERS is undertaking an exciting opportunity as part of our 5-year strategic plan. With the support of the MainePERS Board of Trustees, a new Pension Administration System will be implemented to improve and maintain the security and integrity of our information systems and improve the reporting technology experience for MainePERS employers.
A core team at MainePERS developed a request for proposal (RFP) and solicited bids for a new, modern pension administration system, or PAS, which will include an employer-reporting portal (replacing Employer Self-Service) designed to support participating employers better. The RFP was released in May 2024 and late last fall the winning bidder was selected. Contract negotiations are now completed and the project will begin in earnest in mid-April.
Efforts thus far have been preparatory to the real work beginning. Standing up a new system will be a huge undertaking and will take multiple years to achieve. During this time, our Vitech V-3 system will continue to be operational.
As we begin this process, MainePERS is committed to engaging and soliciting feedback from employers on the new Employer Portal, as well as communicating about progress and milestones as they occur. Toward that end, MainePERS will convene an employer advisory panel to help guide and assist with this effort. If you wish to be considered for participation on the advisory panel, please email us regarding your interest at employer@mainepers.org.
As we undertake this project, our goals are to make it easy for employers of all sizes to engage with minimal disruption, improve the accuracy and efficiency of data and processing, and effectively communicate with employers throughout the project.
