IMPORTANT VMLS Rules & Regulations/Functionality updates:


The following changes have recently been voted on and passed. Some are awaiting Flex implementation.


Changes are explained in more detail below in each section.

Rationale of rule changes

NEW STATUS ADDITION: Temporarily Off-Market


We will be adding one additional off-market selection in Flex. Temporarily Off Market will be added to allow agents to honor their sellers’ wish of taking the listing off the market temporarily. We find agents are confused about the use of Withdrawn, which previously was considered a temporary status.


We now view Withdrawn as a conditional status, but it is important to note that both statuses imply that the listing is subject to a listing agreement. Withdrawn properties may or may not go back on the market.



Temporarily Off-Market properties may only remain in this status for up to 30 days, where they will automatically be put back into Active after 30 days.

URLS no longer permitted in public remarks


The VMLS BOD has passed the rule to ONLY allow URLs of any kind in Agent Only remarks only. We will no longer allow any type of URL in the public remarks. You may enter virtual tours and unbranded YouTube/Vimeo links into the video URL fields when adding photos.


If you would like to include a link (HOA websites, etc), you may only enter those into the Agent Only remarks. Listing Data Checker will automatically flag URLs, and ask that you remove them and move them to the appropriate field.

CDOM reset change


The CDOM (Cumulative Days on Market) functionality in Flex recently changed from 365 days to 120 days. This means that listings will only have to remain in an off-market status (Expired, Withdrawn, Cancelled) for 120 days in order to reset to 0, as opposed to 365 days.


This change was retroactive in Flex, and adjustments were made to listings that this change applies to. Listings in Withdrawn status are still being re-calculated. Any listing with the last status of Closed will always reset to 0. Active listings do not reset.

Week/Interest & Unit # - Partial Ownership


We will be adding a Week/Interest # and Unit # field in the Address section of listing input in Flex. These fields will be required, and will make searching, sorting, and looking up history much easier. 


Schedule & parcel numbers will no longer be required on Partial Ownership listings. History will be tracked using the address fields.

Den/Loft field in Flex 


There is now a required Den/Loft field located in the Main Fields section of listing input for Dens/Lofts. This will be a yes/no field where the agent will specify if the property has a Den/Loft included. There will then be an open Remarks field for agents to add remarks regarding the additional room.


There is no rule change on this. Dens & Lofts must have an egress to be included in the bedroom count. This field will make searching easier for agents who have clients specifically looking for properties that may have these additional rooms.

Zoning Codes in Flex



We will be changing the Zoning Code field in Flex to a pick list, in which the options provided align with what Eagle County provides. The open text field will be removed. 

BROADCAST EMAIL RULES UPDATE

Media and Broadcast Email Rules


The Broadcast email system, like many email systems, has a size limit for emails. If an email contains too large photos, video links, or other media, the system may strip the media from the email.


As a courtesy to each other, VMLS encourages limiting the links to media and the number of images to 1 - 2 images. Please also remember you are emailing other members who have access to all the photos and media through the MLS.



We have updated the rules/cheat sheet for the Broadcast Email System. Please review the changes specifically for the frequency we will allow emails to be sent for each topic. Thank you for abiding by the rules and keeping the system working efficiently.

NEW COMPLIANCE SYSTEM

Listing Data Checker


We launched Listing Data Checker in early December. This is an automated but monitored system that will send compliance notices and violations via email.


There will be a new tool in Flex called CheckIt, that will alert agents of possible violations during listing input. This will be live on February 6th. It will help you avoid MLS violations and allow you to correct errors before adding your listing. If you see any errors in this new system, please report them to Jessica Cliver via email.

PRODUCT UPDATES

New with ShowingTime: Offer Manager & Info Sparks


VMLS upgraded our service with ShowingTime, which unlocked new features in ShowingTime, including Offer Manager. We offered member trainings and have included the recording on how Offer Manager works here.

InfoSparks will be replacing Domus Analytics as the VMLSs interactive market statistics tool. While we integrate InfoSparks into Flex MLS – which is tentatively scheduled for February 14th, FlexMLS’ Market Summary and Market Trends tools are available to use.

InfoSparks will offer comparable infographics, charts, and the ability to analyze data using different metrics. There will be a member training offered the Friday after launch. Please tune in for more details.
