MHI HOA Annual Meeting Notes are Now On-line
Message from the President

Fellow MHI Owners,

I hope all our MHI Family had a joyous Easter; from what I heard the lucky few at the Inn had a wonderful time inclusive of the special visit from Peter Rabbit.

Liz Dion and Christie Smith took the leadership for this fun and successful event. Great exposure for our property w/significant attendance. Rod Sr provided supporting materials highlighting rental and ownership opportunities.

By now you have received you ballots for the 2019 BOD election, please be sure you show your support by casting your ballot as the dead line for submission is in a few days. The sooner we can get the election finalized the more productive your BOD can be.

Memorial Day is just around the corner, we are finalizing some upgrades and maintenance projects so as the occupancy spikes over the next few months the Inn can be buzzing w/fun activities not workmen.

Financial Update

Q1 Financial Performance
For the period ending March 31, 2019, total operating expenses were reported at $89.8K versus a budget of $86.5K, or higher by $(3)K. The variance was mainly driven by higher utility costs resulting from a timing difference versus budget; and from higher repair and maintenance expenses reflecting a carryover of activity related to restoring the Inn after the hurricane. Supplies and payroll expenses which make up over 40% of total expenses were at budget and reflect the disciplined management support from Lynn and Sophia who are tracking costs and budget on a monthly basis.

Dues Collection
Collection of dues remains a high priority. We discussed at the owner’s meeting the need for better collection processes and received overwhelming support for evaluating and implementing automatic payments through direct debit. We will continue to work on this alternative through the month of May, and it's likely implementation with Q3 dues. If you think you may need any special accommodations in the implementation of direct debit, please let us know as soon as possible while we complete our plans. If you aren’t up to date with Q2 dues please remember to make your payment promptly.   

Assessment and Hurricane Funds
2018 Assessment funds remain intact with the exception of a few projects including the significant upgrade of our IT and wi-fi network to all state of the art equipment. The project cost approximately $5K and will come out of reserves. The project savings versus full cost represent $17K with the contribution made by Paul Ostrowski and Mickey Glasgow of design and installation time and CISCO equipment at an employee discount. We are incredibly grateful for the financial impact of this contribution, the operational impact on connectivity, and the customer/owner experience .

Hurricane insurance funds received and deposited to date have totaled $216K. All hurricane related projects will continue through the year including the roof, Room 7, flooring, walls, millwork, painting etc. We are coordinating with Inn management and Mike Kirk to keep track of hurricane repair related costs in order to assign them correctly to this category and be diligent in tracking actual costs versus estimated insurance claim line items.  
Finance Committee

A new finance committee has been established with volunteer time from Amy Glasgow and Jay Jones in order to better support our operations and reporting. More from the committee to follow in the coming months.

Pinnacle Suite Owners and
Co-Managers for MHI
The season is finally here with near record crowds visiting BHI over Easter. We completed all our major repairs for the year and working on the ‘pretty’. We’ve gotten the spring flowers planted around the Inn with Rod Sr heading up our traditional hanging and potted flower arrangements.
Next week we are planning to repair and repaint all our bikes which haven’t held up to the coastal elements very well. We are also spreading a second haul of mulch in our beds to give us that landscaped ‘look’. We’ve had many compliments on our new signage. We’ve even witnessed folks walking or biking by the Inn say, ‘that’s the new Marsh Harbour Inn’. Word has gotten around the island about the repairs and improvements we’ve made to the Inn over the last 6 months. This is a good thing.

We are also adding new rocking chairs to the balconies on the 2 nd floor next week along with matching tables. The deck décor needs to be updated with new exterior furniture. Rocking chairs seem to be favored over straight backs. It makes the consumption of wine much easier! Also updated were all the exterior pillows which are now bright and beachy.

We continue to get pricing on contract painting. With occupancy now increasing our focus will be more exterior than interior.

We ask that you help us take good care of our carts. They are now our pride and joy. We are checking the battery levels weekly and having any issue repaired quickly. We have a great partnership with Always Ready Golf who is contracted to inspect each cart in detail on a quarterly basis. They have a very specific process when they go over the carts from tire pressure to engine inspection. We are also cleaning the carts on a more frequent basis.

Plans are already being made to participate in the annual July 4th BHI Golf Cart Parade. We have been searching throughout the Internet and social media to find ideas. This will be a Marsh Harbour Inn specific design and we hope to bring more positive branding to our island home. Got ideas – send them our way. .

We hosted our 2 nd annual Peter Rabbit on the Porch over Easter Weekend. It was again a great success and gave the Inn positive reviews.

Thanks to Liz Dion for helping organize the event and to Sarah who helped us make treats in the kitchen. We hope this will continue as an annual tradition as we get so many kids attending from across the island. Many folks visit and see the Inn for the first time when they visit with Peter.

Our busy season in now kicking in. We are getting more frequent requests for reservations. Please remember to use the MHI owners web site to check for updates and to let us know of your upcoming arrival.

We are interviewing for new staff so you will see some new faces in the weeks ahead. We are also working to hire someone to help with baggage handling when you arrive along with helping to keep the carts clean. This will be a new position but something many of you have asked for over the years.

Final note, if you bring your pet, please allow housekeeping to vacuum mid-week. It helps us turn over rooms quicker at check out.

Easter at MHI with Peter Rabbit
More than 200 Island family and friends stopped by to visit Peter Rabbit on Saturday. Many taking time to tour our shiny new Inn! Both kids and adults enjoyed having their photo taken with Peter on the porch.

July 4th at MHI

Summer is right around the corner and the famous 4th of July Bald Head Island Golf Cart Parade will take place on June 29! 

Keeping the tradition we began last year, we’ll have our own cart entry with a surprise design most befitting The Marsh Harbour Inn! 

Following the parade, owner’s and guests are invited to gather at the Inn for a hotdog cookout with all the trimmings.

We’re looking for owner volunteers to assist with cart decorating and the cookout so if you’ll be there and want to help, let us know!

Thank You for your Tips!

While we don't offer valets, a butler or even servers at our morning breakfast; we're pretty sure most owners are aware of the great efforts that our incredible MHI staff go to make everything just right for your visit. To that end, we wanted to share a guide for tipping from Southern Living. While it's customary to leave $3-5 per day, if you bring your furry pet (owners only), please consider that, as well!!

Suites For Sale
From time to time owners may to decide to sell a suite or purchase another suite at Marsh Harbour Inn. To help facilitate this process, the HOA will provide an updated list of suites available for sale at the reception desk including a description of what it means to be a fractional owner and part of our Marsh Harbour Inn family.

If you are interested in selling one of your suites and would like to be added to the flyer, please contact Liz at ldionetcie@gmail.com. If you are interested in purchasing another suite, please ask the Innkeeper for a copy of the most current list.

Nextdoor Communication
We have set up  Nextdoor.com as a way of communicating with Inn owners, and a way to communicate with owners of your suite exclusively. 

Many owners already use this program in their home neighborhoods. It is a very easy way to keep up on what is going on and to have quick updates and conversations as a group. If you are not familiar with  Nextdoor.com you can check out the website before you sign up. 
Note: If you are already signed up for a Nextdoor account in your home neighborhood, you will not be able to use the same email address for your Marsh Harbour Inn Suite. You must use a separate email address.
