Hello from your 2nd VP - Maria Barnhart –
Happy New Year to you all. I have received calls and emails about reports. Please know that while transitioning to a new process for reports is a challenge, it will get better. Having the reports in a digital format will make it easier for everyone involved. I encourage you to have patience and be sure to report what your club has done. We are all coping with the challenges of the pandemic. It is truly amazing the projects club women have completed in their communities during this difficult time. Now let’s tell our stories by reporting on these projects.
Reporting Reminders:

Go to https://gfwcgeorgia.org/club-resources/reporting-forms/ for more guidance on reporting and to select the appropriate google forms report.
- The statistical information includes the data on all the projects for the year 2020 for your specific program area.
- Next, you choose to select up to 10 projects for which you can prepare a narrative. In addition, you can select one of those 10 projects as your Most Creative /Most Outstanding project. New this year – If your club completed the Challenge Project for your specific CSP you can also include a narrative on this project.
- Remember the project narratives should be identifiable club projects with a beginning and end addressing the who, what, when, where, and why, and how.
- Narratives are limited to 500 characters.
- Suggestion: Consider an engaging first statement in your narrative.
Step by Step Procedures for those preparing end of year reports:
- The important first step is to gather your information for your specific CSP, Advancement Area, Special Project, or other reports.
- Prepare the reporting worksheet to prepare for data entry into google forms along with a word document for the narratives.
- Email a copy of the completed worksheet and narratives to your President/VP for review/approval. It may be helpful to discuss this by phone or zoom.
- Make any changes to the worksheet or narratives as discussed with your President/VP.
- Input the report to the Google form on GFWC-GA Reporting and Forms webpage.
- Once the email response received from GFWC-GA, forward the completed report to the club President for her report.
- Suggestion: Create a folder on your computer for your report for club records.

It is very important to report what your club has done for the year. Submissions must be received by 11:59 pm on January 25. This is regardless of the day of the week.

January 2021 is here and it is the time to submit your Club’s entries for any of the Arts and Culture contests should you choose to submit entries. The deadline is postmarked by January 25, 2021. Entry rules and applications are in the GFWC Georgia 2020 – 2022 yearbook.

Clubs submit a copy of all entry forms for the Student Art and Member Craft Contests, as well as a photograph of the art or craft to me by January 25. As our ability to meet in person is still uncertain, depending on the numbers and types of art submitted we will then determine an appropriate environment for judging to take place.

February 1 - LEADS Nominations Due (Leadership Education And Development Seminar)
|

As your club completes its reports, now is also the time for you to look to your membership for ladies who have a desire to assume leadership roles within the State and beyond, and consider submitting an application for her to be considered to attend the annual LEADS seminar.
Each year, GFWC the Leadership, Education, and Development Seminar (LEADS). This seminar is held the day before the opening GFWC Annual Convention. One attendee from each State Federation and International Affiliate Club selects one eligible member to participate in the annual GFWC LEADS program and is free to all attendees.
In demonstrating its commitment to training leaders, GFWC will fund a portion of the expenses of candidates who are members of per capita dues paying clubs.

Goal Sheet (Jan. 25) and President's Statistical Report (Feb. 15)

|
Presidents, I need your help with the two most important reports in my opinion.

Then there is the statistical report which is a year-end report that provides statistics on hours volunteered in each area, money donated, or in-kind donations, etc. This report is important to our District, State, and International organization. This is what we use to gauge engagement, volunteerism, dollars donated, etc. It is also a wonderful way for your club members and sponsors to know how much of an impact you made in your community. March 1 - Memorials List due to District Memorials Chair
|
|
At the end of each year, we honor the special club women who have passed on before us at our Spring District Meeting. If you would like to honor a member that has passed away in 2020, please be sure to send me the club member's name, a brief bio, and a photo if you have one. Please send it to cinjack@comcast.net or call 404-229-5191 no later than March 1.

March 20th District Meeting and other reminders
|
|
The District Meeting is scheduled to take place on March 20th. The hostess clubs, Atlanta Woman's Club, Buchanan Woman's Club, and North Side have been advised and will begin planning. We are continuing to monitor COVID statistics and realize it is still not safe to gather in groups at this time. Although it is impossible to predict whether or not March 20th will be safe to gather, according to our bylaws I am required to send the call out by February 3rd. The executive committee will discuss the safety of meeting in person and because this is a member-driven organization, we will once again rely on you to let us know how you feel about hosting the March event "in-person" or via zoom.
January Reminders:
- January GFWC Georgia 125th Anniversary Project – Donate 125 gloves/mittens/socks to your local domestic violence shelter.
- Jan. 18 – MLK Day of Service - Clubs should participate in this day on their own.
- Jan. 25 - Goal sheet and all other reports due online.
- Jan. 25 Deadline for GFWC GA Arts Contests.
- Jan. 25 Deadline for entering the GFWC Georgia Newsletter, Social Media, and Website Contests. Refer to pages 171-173 in the GFWC Georgia Yearbook for entry requirements should you choose to enter.

Check out our Fall sweatshirts, long sleeved shirts just in time for cooler weather and S.M.I.L.E. Saturdays! The first Saturday of each month is designated as S.M.I.L.E (Smile, Motivate, Inspire, Lead, Excel) Saturdays. Club members are asked to wear Club, District, GFWC/GFWC Georgia Shirts when they are out and about in the community.
