The NTMCA held a meeting on October 12 with nearly 30 members in attendance.
Thanks to Amy Shelley and the City of Southlake for hosting the October meeting and providing a wonderful lunch for everyone. During the meeting, Kelly O’Brian, President Dallas Chapter of ARMA International, provided an overview of 'Keeping up with Records.
Please be sure to recognize and thank Past President Christine Green, City of University Park; Lindsay Wells, City of Richland Hills; and Art Camacho, City of Haltom City. Board service is the most demanding volunteer role; they all took on their board duties with dedication, grace, and seriousness.

November is truly a time of giving thanks, and in the spirit of the Thanksgiving season, we want to reflect on the gratitude we can express towards those involved in our lives.

October Meeting Recap - Southlake
|
In 2020 the NTMWD Board of Directors changed their retention schedule from permanent to adopting the TSLAC retention schedule. Records Manager, Kelly O’Brian shared with the group her daunting task of identifying records, determining the life cycle of a record, and setting retention schedules. Kelly created a plan that included nine phases; while recognizing that some activities within each phase will have a four step progression such as not started, currently underway, 50% complete, and complete. Although the project is still underway Kelly has created a process and system so NTMWD can keep up with records.
The Plan:
Phase 1: Identify and Classify all Records Stored in Laserfiche
Phase 2: Develop a Records Control Schedule Specific to Departments
Phase 3: Develop Laserfiche Structure to Administrate Records Retention
Phase 4: Identify and Classify all Records Created/Stored in Software
Phase 5: Prepare Hard Copy Records for Destruction
Phase 6: Develop Procedure for Managing Emails
Phase 7: Develop Procedures with Outside Council for Legal Holds and Records Releases
Phase 8: Address the Shares Drive
Phase 9: Ongoing – Capture Hard Copy Records with Permanent Retentions
