ORM Update - June 2021
Announcements
New registration form for youth internships/job shadows

In an ongoing effort to streamline our submission processes for activities involving youth on campus, we have moved the youth internship and job shadow request form from our website to the Youth Programs and Volunteer Registration System (YPVRS). You can access the new form and learn more about youth internship and job shadow procedures by visiting our website.
International travel insurance plan details now available

In April, we announced OnCall International as the university's new international travel insurance provider. Program information, including contacts and a plan description, is now available on our website. Questions can be directed to the contacts listed or to [email protected].
Electronic data processing (EDP) insurance
ORM administers the EDP insurance program for ISU computers, phone systems, and copiers/scanners/printers. Coverage includes repair or replacement cost for physical loss due to theft, fire, water, and accidental damage. Everyday wear and tear and mechanical breakdown are excluded. Deductible options range from $500 to $50,000. Currently, over $35 million worth of equipment is insured under the plan.

Departments or units interested in learning more or getting a quote should contact Pierce Zanders by email or by phone at 515-735-2853.
Document retention
Our staff sometimes are asked how long to retain records for certain programs and events. Below are guidelines for some of those areas:

  • Youth programs - many of the documents previously retained by departments/units as hard copies are now electronically saved in the YPVRS system. Departments should keep any documents not retained in the system until youth participants have reached 21 years of age.

  • Volunteer service opportunities - as with youth programs, YPVRS saves much of the required documentation related to volunteer service. Departments should retain records that are not in YPVRS for three years, unless the volunteer is under the age of 18 at the time of service - in which case records should be retained until the volunteer turns 21 years of age.

  • Field trips - signed participation agreements should be retained by the department for three years from the date of travel.

See the University Records Retention Schedule for other retention guidelines, and feel free to contact our office if you have questions about what to save and for how long.
Risk management question of the month
What is risk assessment?

Risk assessment is the overall process of identifying, analyzing and evaluating risk:

  • Identify - find, recognize and describe threats and opportunities

  • Analyze - consider factors such as likelihood, magnitude of consequences/impact, effectiveness of existing controls

  • Evaluate - support decisions by comparing results of risk analysis with risk criteria to determine whether action is required.

Risk assessments are typically conducted by risk owners who have direct knowledge of and the ability to accurately assess a risk at the local level.

Spotlight on:
Cally Jennett
Cally joined ORM in July 2017 as our insurance and claims manager, bringing 27 years of expertise primarily as a litigation adjuster handling large dollar injury lawsuits. She passed the Certified Public Accountant (CPA) Exam, and holds the following professional designations: Associate in Risk Management – ERM (ARM-E), Chartered Property Casualty Underwriter (CPCU), Associate in Claims (AIC), Chartered Financial Consultant (ChFC), Chartered Life Underwriter (CLU), and Fellow, Life Management Institute (FLMI).

My role:

I oversee the purchase of insurance and handle property claims on behalf of ISU. There is never dull moment trying to find ways to protect ISU properties through insurance or helping to recover damages after a loss has happened.

I also work with the State of Iowa Attorney General’s Office when a tort claim is filed by a third-party alleging ISU liability, and handle auto accidents involving ISU vehicles through the Iowa Regents Motor Vehicle self-insurance program.

My everyday goal is to use my insurance knowledge for the greater good of ISU, looking for ways to maximize claim recoveries and work with departments to understand the world of insurance.

What I like best about working for ORM and ISU:

Working with so many departments across campus gives me a glimpse into all the amazing things happening at ISU. I always learn something new - how a high dollar piece of research equipment works, the lifecycle of compost, and written protocols for properly locating underground line/pipes prior to digging, to name a few!

The last item was key in successfully recovering over $100,000 in damages caused by a third-party contractor who dug before locating - accidentally striking an underground sewer line, creating a big mess in a campus building.

Fun facts about me:

  • I am a Cyclone convert after growing up in a hardcore Hawkeye family. Family vacations consisted of going to Hawkeye Bowl games every winter. My extended family still cannot believe that I have gone over to the Cyclone side or as they call it “the dark side."

  • I love anything involving water! I am a certified scuba diver, swam across Lake Okoboji in northern Iowa on several occasions, and in my younger years was a certified Red Cross swim instructor, running the Red Cross swim program in my hometown during high school and college.
