HMIS Data Standards

Now Live!

In case you missed our previous announcement, the latest HUD Data Standards have been fully integrated into our HMIS!


Affected data elements include:


  • Race & Ethnicity
  • Gender
  • Sexual Orientation
  • Sex (new data element)
  • Translation Assistance Needed


Several additional elements have also been changed specifically for VA and SSVF projects.


As a reminder, the FY26 Data Standards have not yet been published. We will communicate the publication to HMIS Users as soon as it is available.


Message from HUD regarding data collection and quality:


"HUD will encourage collection as soon as end users are trained for the FY2026 Data Standards, but no later than 90 days after the publication of the Data Standards Manual. HUD will not assess data quality during this 90-day period and until data collection begins."

CaseWorthy Mobile Portal

Expected to Launch October 29th!

We are excited to announce that, after months of testing, our community's new Street Outreach mobile portal is on track to be launched Wednesday, October 29th.


This new tool will allow Street Outreach teams to easily access a client's full HMIS profile while serving them on-location. Users will also be able to document information about encampments, collect e-signatures for ROIs and other documents, check Priority Pool status, and complete many other tasks available in the desktop version. Data entered into the mobile platform will also be immediately integrated into the system and available in the desktop version.


The mobile version will be available in-browser, so users will not need to download a separate app. Once launched, access to the portal will be granted by request to Street Outreach staff and their supervisors.


Live trainings will be offered by the HMIS Team on the following dates:


Monday 10/27

3 PM - 4 PM


Tuesday 10/28

8:30 AM - 9:30 AM


Invites will be sent to Street Outreach program managers to disperse amongst their staff. We will be sure to update users if there are any changes to the expected launch date.

October Data Quality Cleanup Updates

The HMIS Team will be changing the order for the data quality cleanup this month due to the new FY2026 Data Standards.


For the month of October the cleanup will be focused on Prior Living Situations for Street Outreach enrollments over the past fiscal year. Data Quality Reports will be sent out in November and Chronic Homelessness cleanup will be sent in December.

HMIS Team Out of Office 10/13

The HMIS Team will be unavailable Monday October 13th in observance of Indigenous Peoples' Day. In case of an HMIS-related emergency, please reach out to HMIS Director Nina Gall

HMIS Privacy Reminders!

With a new fiscal year beginning, we would like to take the time to provide a few refreshers on proper HMIS usage.


Users should be aware that profiles should only be viewed as-needed. This means a client's information should only be accessed if your job duties require you to do so.


Appropriate client access includes:

  • Verifying eligibility for a program
  • Adding enrollments, services, case notes, or any other valuable data for the client
  • Checking contact information to relay a message
  • Gathering information necessary for data quality, audits, or reporting


Inappropriate client access includes:

  • Viewing the profiles of acquaintances or loved ones that are not being served by your organization
  • Viewing your own profile, if applicable
  • Practicing data entry (all practice should be done in the Training Organization on imaginary clients)
  • Collecting information with the intent to share with parties the client did not consent to


As a reminder, all actions in HMIS are automatically recorded by the system. Inappropriate use of HMIS can lead to permanent loss of access, fines, and in some cases criminal sentences.
