All the important updates you need to know as an Ohio Liquor Agency

Welcome to Microsoft D365

After many months of planning and preparation, Ohio Liquor is pleased to share that the transition from our current server-based Microsoft AX2012 software to the cloud-based Microsoft D365 software is now complete. While minimal, this necessary technology upgrade provided us the opportunity to enhance our system for a better user experience for our partners. This was a tremendous undertaking by so many, and we are very appreciative of everyone’s time and effort.

Please continue to use https://ops.ohlq.com/ to access the system. The Power BI reports will now be located on the Reports tab under the Agency menu (for Agencies) and the Partners menu (for Vendors/Brokers). Deliveries will resume as normal this week.

Thank you again for your hard work, patience, cooperation, and teamwork as we continue to move Ohio Liquor ahead. Feel free to reach out to a D365-trained Liquor Enterprise Service Center (LESC) team member to share any feedback you may have. We value your input and are here to support you.

The LESC can be reached daily from 6 a.m. to 10 p.m. at 877-812-0013 or [email protected].

Presidents Day Order Schedule

Ohio Liquor offices will be closed on Monday, February 20, in observance of Presidents Day. Due to the holiday, Agencies should expect changes to their order schedules. There are no changes to deliveries.

Below are the ordering shifts. Agencies should follow them to ensure they place orders on the correct day. TOs will be created sooner and will account for fewer sales days, which may result in a TO that is smaller than usual. Agencies should closely monitor their TOs to ensure adequate product is ordered to fulfill inventory needs.

Contact the LESC at 877-812-0013 or [email protected] with any questions.

DHL Driver Reorganization

DHL drivers are undergoing a delivery route reorganization, effective the week of February 13 for Groveport and the week of April 3 for Green.

This process may result in a change of driver delivering TOs to your Agency at that time. Drivers will be provided with the delivery requirements specific to Agencies to support a smooth transition. There will be no changes to delivery days or time windows unless already approved by the Agency.

Your patience through this transition time is very much appreciated.

March Approved Displays

Ohio Liquor approved these displayable products for Vendors/Brokers to recommend to Agencies for use in March. As noted in the approved display process, items with a specialized detail code such as LTO, VAP, or Seasonal are also displayable on an endcap or in a case stack. A list of items that can be displayed based on detail code can be found here. You may begin requesting product for these displays in the coming weeks.

Agencies are not required to establish displays if they are not a good fit for the Agency’s location. If an Agency does establish a display, OHLQ encourages you to work with your Vendor/Broker representatives to determine a display strategy or category that works best for your Agency, including the number of displayable spaces available.

Agencies must request a display by adding the increased quantity amount to your weekly transfer order (TO) and then entering the increased amount into the "Special Request" section of the ops.OHLQ.com transfer order page. Agencies are reminded that the total case allocation for floor displays cannot exceed 15 cases.

This request will be sent to the Allocations team, who will review the information and the TO, and compare the request with the list of approved displays. If the display requested is pre-approved, the Allocations team will approve the TO as requested by the Agency.

If the item(s) requested for a display is not pre-approved, the Allocations team will remove the additional cases from the TO.

To be considered effective, your displays should:

  • Be kept clean and clutter-free.
  • Focus on high-proof spirits.
  • Limit the amount of non-spirituous liquor items in the display.
  • Not interfere with ADA compliance.
  •  Not create a safety hazard.
  • Be removed by the end of display period.

Once a display is established, it is the Agency’s responsibility to maintain the display for the duration of the promotional period for which the display was approved. To maintain the overall appearance and the amount of product needed for the display, you must add the quantity of product needed to stock the display to your weekly TO.
