Welcome to the PD Registry Buzz!
Happy 1st Birthday to the new PD Registry!
In February 2018, Pennsylvania launched a new PD Registry to create a more robust system with a better user experience. A lot has happened in a last year and the PD Registry team would like to celebrate some of the accomplishments!


The PD Registry team looks forward to continuing to serve you and all early learning professionals in Pennsylvania in the future.
The PD Registry Team Is Growing!
The Office of Child Development and Early Learning (OCDEL) and the Pennsylvania Key are happy to announce the addition of four new staff members! The data verification specialists will be joining the PD Registry team soon.

Their primary role will be to verify education records uploaded to the system and their work will commence during Spring 2019.

As this process begins, you can complete your profile by adding your education and uploading any appropriate documents like transcripts. More information will be available about this in the near future.
Early Learning Professionals
NEW Self-Assessment and Professional Development Plan Available Now!
GREAT NEWS! The Professional Development (PD) Self-Assessment and Professional Development Plan are FINALLY here!

  • PD Self-Assessment: To find the PD Self-Assessment, start by logging into your account on www.papdregistry.org. From the My Personal Profile page, click the PD Self-Assessment tab. This feature is compatible with both the Pennsylvania Core Knowledge Competencies and Big Ideas Framework for Early Childhood & School-Age Professionals.
  • PD Plan*: To find the new PD Plan, start by logging into your account on www.papdregistry.org. Hover over the left menu and select Professional Development Plan. This online version of the PD Plan can help professionals track both short-term and long-term goals. It can also help determine intended outcomes, identify potential barriers, and provide additional resources if needed.

What To Do If Your Better Kid Care Course Is Missing From Your Transcript
The PA Key uploads Better Kid Care courses twice each month. However, if information in the PD Registry does not match information in Better Kid Care profiles exactly, courses will not load properly. 

Here are the steps that should be taken to have courses upload smoothly to My PD tab:

  1. Log in to the PD Registry at www.papdregistry.org.
  2. Go to your profile and make sure that all of your information is up to date. Make note of your Registry ID#.
  3. Log into Better Kid Care. Make sure that your information matches what is in the PA PD Registry exactly, especially your Registry ID# (ex. 100 North Third Street and 100 N 3rd St do not match, 4a and 4 A do not match).
  4. Email [email protected] saying that you updated your information and to please include your courses in the next PA Key upload.

Please note that we upload Better Kid Care courses around the 15th and 30th of every month.  

If, after verifying personal information in both databases and giving at least four weeks post email to Better Kid Care, your workshops are still not showing up, please email [email protected] . Include your name, Registry ID#, the names of the missing courses, and the dates the courses were taken.
Explaining Invoices and Why They Occur
The PD Registry has a tab called invoices. The Invoice Tab collects record of any paid professional developments you've taken like a collection of receipts. You're even able to print them!

To find the Invoice Tab, follow the following steps:

  1. Log into your account on the PD Registry (www.papdregistry.org).
  2. Click the Invoice Tab on the left menu.
  3. Select the Paid category in the status drop down menu.
  4. Click Search. All paid invoices will appear in a list. You can click individually on each and print.

The Invoice Tab also allows you to search for unpaid invoices and pay them. Unpaid invoices occur if you choose "Pay Later" during the checkout process when registering for an event. Follow the same steps above but search "Unpaid" instead.
Online Professional Development Opportunities
P-3 Systems Thinking
OCDEL has created a P3 Systems Thinking online module that is now available for FREE within the PD Registry. This course will answer the following questions – What is Prenatal through 3rd grade systems thinking? This course is designed as an introduction to the Prenatal through 3rd grade systems thinking model, with a focus on a customer service mindset. Anyone working within prenatal through third grade will benefit from this course.

Other online courses can now be found on the training calendar page, including the free STARS 101 and 102 courses. To find these free courses, log into the PD Registry and follow these steps:

  1. Click the Training Calendar tab on the left, black menu.
  2. Click on the STARS 101 and 102 quick link tab at the top of the page.
  3. Scroll down to find the online versions and click View Events.
  4. Click the blue Register Online tab and follow the prompts to register.
  5. Once registered, click on the MY PD tab on your main profile page.
  6. Click the blue box to the right of the course title.
  7. Click launch to begin.
  8. Once you have completed the course, the course will show as verified on your professional development learning record.

You may also find other PA Key/OCDEL created online courses by going to the Training Calendar and scrolling down and clicking the E-Learning Tab and unchecking all other boxes. Next, click search and you will be able to scroll through the list of online courses. Follow the same steps as listed for the STARS 101 and 102 online courses to register and begin the course
Instructors
IMPORTANT NOTICE: Instructing on Content from a National Organization
Be advised that several national organizations require instructors to attend a Train the Trainer course and have a valid training certificate to deliver their content. The PA Key must comply with the guidelines of these organizations.

Therefore, we may ask for a copy of your trainer certificate from the national organization as part of our course approval process. If you are unsure if you need to be a certified trainer to instruct on a specific course, please send your questions to [email protected] .
How to Cancel an Event If There Are Attendees
Did you know that you cannot cancel an event if there are already attendees? Follow the steps below to make the appropriate changes to your event:

  1. Search for the event you would like to update.
  2. Under the Event Admin tab, locate the Event Status section.
  3. Look to see if there attendees for the event. If there are not attendees, click the Status drop down menu and select Cancelled. If an event does have attendees, you should remove them from the event.
  4. Skip this step if you do not need to remove attendees from the event. To remove attendees: click Manage Events and select Manage Roster. Select Email Attendees and send a cancellation email to attendees on the roster. After you have sent the cancellation notice, you can remove attendees by clicking the red trash can button to the right of the attendee's contact information. Once all attendees have been removed, click the Exit Roster button and return to the Event Admin tab. The status box should now display Cancelled.
  5. Click the Update Status button. When the status update is complete, you will see the screen below. The status and the date now reflect the changes. If the status or date is incorrect, the update was not successful.

Updates About Reports for Instructors and Organizations
The PD Registry team is excited to announce a new tip sheet section to help instructors and PD Organizations pull meaningful reports. To view the new tip sheets, visit the Instructor Resource page on the PA Key website

In it, you will find directions on how to find the reports, the function of the report, a list of the editable parameters, a picture of the report, and a list of questions for why this report might be chosen.

The team is continually working with to create additional reports and functionality. Is there something that you would like to be able to view in a report that you don’t currently see? Email [email protected] with your recommendations.

The Registry team wants you to be supported as you use the PD Registry. There are several ways to receive assistance:

  1. Visit the PA Key website for a variety of tip sheets from basic information on creating an account to more in-depth topics such as submitting a course for Instructors.
  2. Email [email protected] and a PD Registry team member will get back to you as soon as possible.
  3. Call 1-800-284-6031 and select extension 1 to connect with one of the PD team members.
  4. Like us on Facebook to stay up-to-date with the latest PD Registry news.
 
The hours of operation are Monday through Friday from 8 am to 4 pm. When contacting the PD Registry team, please have your name, contact information (including email), organization (employer) information, and your Registry ID number. If you do not have this information, one of the PD Registry team members can help you find it.
