Free Parking and Shuttle Service:

We invite you to park at the Cuyahoga County Board of Developmental Disabilities, conveniently located at 1275 Lakeside Avenue, East, Cleveland, OH 44114. Youth Challenge will happily offer shuttle services using their ADA-accessible vans from 12:45 PM to 3:15 PM to and from the Cleveland Public Library Main.

Major Unusual Incidents Annual Reviews and Stakeholders Deadlines Approaching

This is a reminder of the upcoming deadlines for the annual review and reporting requirements:


Independent and agency providers must complete the annual review by January 31 and submit it to the county board by February 28.


County board-operated programs are required to submit the annual report to the department by February 28.


County boards and councils of governments (when applicable) must have a committee that reviews trends and patterns of major unusual incidents. This committee should convene in March 2025 to review and analyze data for the preceding calendar year.

Independent Provider Meet & Greet

Cuyahoga DD's Independent Provider Meet and Greets are back! People love the convenient, virtual forum and are making great connections. Don't miss your chance to meet people and families looking for services.

 

Our next Independent Provider Meet and Greet will be on Wednesday, March 5, 2025, from 10 AM - 12 PM via Zoom. Register to reserve your space by clicking the button below.  

 

During the meeting, IPs will be asked to introduce themselves and talk about their experience in the field and availability to provide services to new individuals - including days, times and side of town.

 

Meetings have limited capacity and participants are expected to maintain proper Zoom etiquette as attached in the memo below.

Cuyahoga EITC Coalition Tax Prep

The Cuyahoga EITC Coalition can support the people you serve with tax prep.

 

  • All Cuyahoga EITC Coalition tax sites offer FREE tax preparation services for qualifying families and individuals earning up to $67,000 and persons with disabilities, individuals who are 60 or older, and limited English speakers.

  • Appointments can be scheduled either online at refundohio.org "schedule an appointment" or by calling 2-1-1 to use our automated phone system.

Reminder to Providers: Provider Search Tool 

Providers in Cuyahoga County are strongly encouraged to use our Provider Search Tool when searching for people seeking services. Providers should avoid directly approaching people and families to change providers when they are out in the community or at work. 


Questions or concerns about the provider search process or the Provider Search Tool can be directed to provider.search@cuyahogabdd.org.


All Providers using the PST should review the PST Instructions & PST policy for guidance on the use of provider search process.


Additional reminders to ensure compatibility when accessing the PST:

  • Must use a laptop or desktop when logging into the PST
  • Must use the same email address submitted for the PST registration
  • Disable the pop up blocker
  • Agency Providers using the PST:
  • Staff who have access to the PST are responsible for internal training for new staff who use to the PST.
  • Reset the password when new staff gain access to the PST

As a reminder, to attend, the provider must be actively serving an individual or designated to work with an individual served by Cuyahoga DD and be in good standing with the Ohio Department of Developmental Disabilities.

Ohio Medicaid is changing the way they do business. The Department of Medicaid is streamlining provider enrollment and support services to make it easier for you to work. Information about provider enrollment and assistance is located below.

Revalidation Quick Reference Guide

If you received an e-mail or letter stating you're due for revalidation, please review this quick reference guide and follow as indicated.


According to DODD, providers do have to complete the revalidation process every five years as DODD-only providers are classified as “non-credentialed provider.” What this does is renew the Medicaid number. Providers will receive multiple e-mail notifications beginning 120 days prior to their expiration date. Agency providers will pay a fee, and independent providers will not pay a fee. The revalidation process was on hold due to the Public Health Emergency, and now it has been reactivated again.


Similar to DODD, the ability to revalidate on PNM is only available within 120 days of the expiration date.


Please note, this information is based on a DODD-only provider, not including providers certified through ODM and ODA.


If you have issues with the revalidation process, contact Ohio Medicaid’s Integrated Helpdesk (IHD) at 800-686-1516 and follow the prompts for Provider Enrollment or e-mail IHD@medicaid.ohio.gov. Representatives are available Monday-Friday, 8 a.m. - 4:30 p.m. Eastern time.

Tips for Contacting the Ohio Medicaid Integrated Help Desk

From the Ohio Department of Medicaid:


When contacting ODM’s Integrated Help Desk (IHD) by phone or email to report an issue, a ticket will be created, and you will be provided the ticket number. If a follow up is needed to the IHD regarding the reported issue, please reference the ticket number that has been provided to you.


When contacting the IHD by email, provide details related to the inquiry along with relevant information such as:


  • National Provider Identifer (NPI)
  • Ohio Medicaid Provider ID #
  • Registration ID (specific to PNM)
  • OH ID number
  • Claim number(s) and examples
  • Error message screenshots
  • If assistance is needed with individual or group enrollment
  • Previous IHD ticket number(s)


When contacting or responding to the IHD by email, please check your Junk Mail folder for emails from the State of Ohio that includes the message you emailed, the assigned ticket number and comments/updates from the IHD.


When contacting the IHD by phone, the Customer Service Rep (CSR) will request you provide a direct contact number and your email address which will be added to the ticket. This information will be used to provide updates and/or contact you when additional research is needed.


When contacting the IHD by phone, if your inquiry cannot be resolved during the initial call, IHD will follow up with you within 1 business day. The CSR will make multiple attempts to reach you by the phone number and email address you provided. 


If you receive an email indicating your inquiry has been resolved and you are still experiencing the issue, please notify the IHD via a phone call or response to the email and the ticket will be reopened or a new ticket created.

Reminder to All Providers

  1. Reminder to all providers to submit their billing promptly after providing services. Providers who hold billing may encounter conflicts when attempting to bill long after the service was delivered. 
  2. All ISPs regardless of format are still accessed via the PST. Contact provider.search@cuyahogabdd.org if assistance is needed

People served by Cuyahoga DD are often seeking providers. Be sure to check the PST every day! Provider Support often hears from providers who are looking for people to serve and the provider search tool.

Please remember to start your renewal certification at least 90 days prior to expiration to support the renewal process and avoid conflict.

Cuyahoga DD has posted lists on our website of Independent Providers who are willing to work with an agency, as well as a list of agencies in need of staff. These lists are in the process of being updated. If you would like to be added to either list, please complete the appropriate survey below. Additionally, if you'd like to be removed from these lists for any reason, please email PDS.
