RESIDENCE HALL MOVE-IN INSTRUCTIONS
Dear Student, 

The staff of K-State Housing and Dining Services is pleased to welcome you to our campus community! We've been preparing for your arrival all summer. Here are steps you can take on your end to help us carry out an efficient move-in process.
BEFORE YOU ARRIVE
Entry Testing
On move-in day, prior to students moving into their residence hall, students must participate in COVID-19 entry testing. Students who have been fully-vaccinated against COVID-19 may choose to opt out of this entry testing requirement by voluntarily self-reporting their full vaccination status to K-State's Lafene Health Center.

To complete the required entry testing, students may:

  1. Bring to move-in a copy of a negative COVID-19 test completed within 72 hours prior to move in time, OR
  2. Be tested on-site prior to checking into their residence hall.

For students who have been fully-vaccinated against COVID-19 and choose to opt out of the entry testing by voluntarily self-reporting their full vaccination status:

  1. Log into the MyLafene+ patient portal to upload the proper information and click on the "Medical Clearances" link. The portal is open for students to complete this process now.

Lafene Health Center staff will be responsible for the entry testing process and collection of voluntarily self-reported COVID-19 vaccination information. Lafene will ensure your protected health information is kept confidential.

More information regarding specific processes on move-in day will be shared via email with students in August.

K-State strongly encourages students, faculty and staff to receive the COVID-19 vaccine to protect themselves as well as limit the spread in our communities.
Residence Hall Handbook and Calendar
The residence hall handbook includes important policies and procedures, including specific changes related to COVID-19. Residents are responsible for adhering to the terms of the handbook, including the procedures specific to COVID-19. Each resident should review the Residence Hall Handbook in its entirety. The updated calendar with important dates is included in the handbook as well. Incorrect dates may have been inadvertently shared by other campus offices. The dates in this email and the 2021-2022 Residence Hall Calendar are the correct dates.
Wildcat ID Card
All new incoming students need to order a K-State Wildcat ID card at least two weeks before your arrival through the following online process:


  • Click on “New Student Wildcat ID.”
  • The ID Center will review your application and send an email to your K-State email address.
  • You will need to bring a valid state or federal-issued photo ID (i.e. driver’s license or passport) to retrieve your Wildcat ID.
Parking Passes
If you're bringing a vehicle to campus for the academic year, purchase a residence hall parking pass from K-State Parking Services at least two weeks prior to your arrival.

If you're bringing a bicycle, complete the free registration form to receive your bicycle permit.
Mail and Packages
Upon checking in to your residence hall, you will receive your mailing address. Please wait until after move-in to begin sending packages and mail to your residence hall. 
Your Wildcat Welcome
All students are invited to participate in Your Wildcat Welcome events. These free events kick off Wednesday, Aug. 18, continue through the first week of classes and are designed to help you gear up for your K-State experience. Your next step is to register!

Each Day of in-person orientation will feature theme-based events and programming designed to help you get to know K-State's student services, traditions, resources and your fellow students.
Here's a sampling of opportunities that will be available to you:
  • Welcome activities
  • Academic college orientations
  • Walk your class schedule
  • New Student Convocation (your official, formal welcome to the university)
  • Student Success resource fair
  • And much more!

Dining Dollars
Housing and Dining Services and the K-State Student Union are excited to offer a Dining Dollars program this year. Residents may select various amounts of Dining Dollars to be used at JP’s Sports Grill, JP’s Union Station, Cornerstone Café locations and Union dining locations. 
MOVE-IN PROCESS
Residents will self-select a time-slot for arrival and check-in. The check-in process begins at 9 a.m. Sunday, August 15.

Early arrival fees will not be charged for students moving in August 15 or later. Meals for Move-In week will begin with breakfast Monday, August 16. Kramer Dining Center will be the only dining center open until the evening of Aug. 18 when Derby Dining Center will open. Students are able to eat at either dining center when open. Resident contracts will officially begin Saturday, August 21, or when a student checks in, whichever occurs first.  
To begin the arrival and check-in process, including scheduling a time to check in, please make an appointment using the link below. Residents may return to this site to change the arrival and check-in appointment time.

Note: The scheduling tool will only share what is available, and availability frequently changes. Check back for updates.
Once you have your keys, you may begin moving in and your family/guests may begin assisting you inside the building.

  • Upon arrival, you will have 30 minutes to unload your vehicle and relocate it to the approved parking area.
  • If more than one vehicle is arriving, please have your items in one vehicle and bring the others to the approved parking area. 

A dashboard permit will be emailed to your K-State account when a move-In time is selected. This permit can also be printed from the check-in process page. Please print the permit and place in your windshield when arriving to campus. 

To help you navigate the ongoing road construction near campus, a map with directions to buildings and building perimeter parking will be emailed to you shortly before move-in begins.  
For your convenience, please bring your own dolly or cart if you can. Our carts are limited in number.
Please be mindful of the number of items you bring on this day — help us get everyone in and settled as quickly as possible.

It helps to consolidate items to as few boxes as possible. Labeling of items with a resident name is also encouraged.

ADDITIONAL INFORMATION
Quarantine Requirement Update
If you have been outside of the US since June 1, please contact our CARE team at hdsmoves@ksu.edu or via text or WhatsApp at +1-785-313-3404 to schedule your check-in.

Please be sure to review the most recent quarantine requirements from KDHE. Contact our CARE team if you have questions. 


The following are requirements to be completed prior to arriving to campus. They can uploaded to the myLafene+ Patient Portal under “Medical Clearances." 
  • Tuberculosis (TB) Questionnaire. Additional testing may be required. 
  • Two Measles, Mumps, Rubella (MMR) vaccines or a lab report confirming immunity.
  • One meningococcal ACWY (MCV4) booster vaccine at age 16 or older. 

The COVID-19 vaccine is strongly recommended. You may upload your vaccine record to the myLafene+ Patient Portal as well. 
On-Campus Employment Opportunities
We encourage you to consider on-campus employment with Housing and Dining Services. HDS offers a variety oemployment opportunities in our housing, dining, retail and maintenance areas. 

Many positions offer opportunities for promotion and pay increases as well as a convenient schedule! 
What to Expect After Arriving: Residence Hall Resource Guide
  • You’ll first get settled into your room by arranging the furniture and finding your away around the building.  
  • You’ll meet your resident assistant (RA). Your RA will be able to assist you find the correct information, provide peer support and help you succeed at K-State. In addition to your RA, you will also see your assistant/community coordinator. These staff members also assist in your success and are your next stop for questions about K-State and living in the residence halls. You can find their offices on the main floor of your building. 
  • Participate in Your Wildcat Welcome Events
  • Walk around campus – find your classroom buildings and get to know your way around your new home away from home. 
  • You’ll eat in our dining centers. To check the service times of the dining centers, please visit the Dining Center Hours of Operation page. If you need assistance in the dining center or have questions about food allergies, ask for a manager or dietician at the entry or in a service line. 
Housing and Dining Services App
Housing and Dining Services now has an app! With the new K-State HDS mobile app, view your meal, Cat Cash and Dining Dollars balance at a glance, check in or out of your residence hall or apartment, file a work order and easily access the dining center menus.

More functionality will be added throughout the year. Download it today on the Apple App Store! A Google Play version is currently in development.
