Rosa Coplon Department Feature:
Medical Records
|
|
Each week, we'll be introducing you to a different department and team at Rosa Coplon Living Center. Last week, we shared information about our Admissions department. This week, we interviewed Nicole Holler, Director of Medical Records at Rosa Coplon Living Center.
What is the role of the medical records department?
Our department manages and ensures the integrity of medical records. As the Director of Medical Records, my job is to manage unit coordinators and maintain confidentiality of all pertinent resident care information, assuring resident rights are protected.
What are your responsibilities as Director of Medical Records?
I validate census information, maintain electronic medical records, conduct audits, receive and respond to inquiries and requests for medical record information, and process submissions and transmits electronically as scheduled by the DOH. I work closely with all departments to keep all records properly maintained, prepare monthly statistical reports and other duties as requested by Administration.

Who is on your team, and what do they do?
In addition to me, the Medical Records team includes two dedicated Unit Coordinators: Jennifer Jarrett and Lynn Bicker, who have worked at Weinberg Campus for 33 years and 20 years respectively. Both are very hard workers and make sure the residents' needs always come first. They schedule appointments, maintain the residents' records, organize the units, communicate with all departments on census activity, and are always willing and able to help out with any task that is asked of them.

Tell us some fun facts about yourselves!
I enjoy boating and spending time with my large family, Lynn loves to cook and bake for family and friends, and Jennifer enjoys traveling and spending time with family.
What would you like family and friends to know about the medical records department at Rosa Coplon?
I’ve been working in long-term care for the past 20 years. I enjoy working with the elderly population, witnessing their wisdom and hearing about their life experiences.
How can someone contact you?

Ongoing Safety Precautions
The COVID-19 vaccination clinics are complete at Rosa Coplon Living Center. We are optimistic about what this means for our residents and staff as we look toward a brighter future ahead for all. We continue to adhere to the following safety precautions to protect and care for residents and staff on campus.
-
Per Department of Health (DOH) recommendations, please do not take residents out of Rosa Coplon except for medically necessary appointments.
- Care for residents with COVID-19 is provided within one unit to prevent the potential spread. We continue to work closely with the DOH to follow the latest recommendations and requirements.
- Our facility uses a comprehensive, science-based 7-step disinfection program. We are extremely lucky to have a pulsed UV disinfection system proven to eliminate pathogens rom surfaces in seconds. This technology is also used in many hospitals.
-
To ensure everyone’s safety, we continue to follow the DOH requirements in utilizing personal protective equipment such as face masks, eye protection, gowns, and gloves.
