HSD Progress Report


HMIS users with Data Analysis access can find a custom-built report for quarterly reporting to the Homeless Services Division Grants Team. This report is great for ESG, CDBG, and HHAP reporting. Navigate to "San Luis Obispo System Reports" in Data Analysis to run the HSD Progress Report to report program outcomes!

You're invited! Online and In-person Community Meetings for HHAP-6

The County's Homeless Services Division is offering online and in-person community meetings to help identify how to best address and prevent local homelessness. People currently experiencing homelessness and those with lived experience with homelessness are encouraged to attend! The in-person meeting will be held on Tuesday, June 24 and the online meeting will be held Thursday, June 26. Learn more and RSVP here.


Privacy and Security Training Required for All Users

In May, all HMIS users were assigned a mandatory Privacy and Security Training course in TalentLMS. This course expired on June 16 and users who did not complete the course by that deadline were deemed noncompliant with training and their access to Clarity HMIS was deactivated. These expectations were communicated to Agency Administrators. Once the required training is complete, users will have their access to Clarity HMIS restored. Street Outreach Data Collection Training was a Success!

Thank you to all the users who attended the Street Outreach Data Collection Training last month! More than 20 HMIS users across seven agencies attended and provided excellent feedback to do similar trainings in the future. Reminder: Responding to Law Enforcement Requests for Information

HMIS Policies and Procedures provides guidance for all participating agencies for appropriately responding to federal or state law enforcement requests for any information contained in HMIS. The HMIS Team has created a suggested user script to support frontline staff to uphold policies with confidence and consistency. Question: I made a mistake when entering information into a client's VI-SPDAT assessment. How can I edit the VI assessment without starting a new one?


Answer: This happens! To update a VI-SPDAT assessment directly in Clarity HMIS, click the pencil icon at the bottom of the screen, and do not click "start" at the top of the screen as that would start a new assessment. Multiple, recent assessments with only one corresponding referral will show up as errors on data quality reports from the Coordinated Entry Team. Edit directly with the pencil icon to avoid extra work for the HMIS user, and to avoid any delays in your clients matching to housing opportunities. Question: I have to update each client's profile to notify me when there is an assessment due. Is there a way to get notified automatically for all my clients when an assessment is due?


Answer: Yes! Users in Clarity HMIS can now configure their user profile to receive status due notifications on clients enrolled in programs, eliminating the need adjust notifications at an individual client level. When a HUD-required annual assessment is due, Clarity HMIS sends an email (with the subject line "Assessment Due Warning") to notify the assigned staff member that the due date is approaching. To configure to receive notifications, click on your user profile and choose account settings. From account settings, toggle "ON" and choose the period of time to receive the notification in advance of the assessment expiring, then click 'save'. Question: My team is growing. How do I add HMIS users? Can anyone request new users?


Answer: Hooray for more staff doing good work! Designated Agency administrators are the only representatives allowed to request new users and must complete the sign-up form found in TalentLMS to create an account for a new user, which sets the process in motion and is outlined in the Knowledge Base Article: How to Become an HMIS End User. The newly added End User will receive a confirmation email containing a link to verify their email address and directing them to log in to TalentLMS to begin training. Only users who have successfully completed their online training are allowed access to HMIS. Consistent onboarding and training is crucial to ensure good data quality and a shared understanding of HMIS - we appreciate your partnership in a unified HMIS!

Auto-Exit Reminder

Clients without an assessment entered every 90 days will be auto-exited from Coordinated Entry program enrollment. If your client is auto-exited, the "Assigned Staff" on the client profile will receive a notification. To learn how to return a client to the Community Queue after they have been auto-exited, review this Knowledge Base Article.
