Club Contacts and Coaches Newsletter

Hello Scott,

There is a lot of information in this email, so please take some time to read through each section. You are receiving this email since you are a registered coach with Missouri Valley Swimming or listed in SWIMS as a Club President, Club Registrar, or Club Administrator.

MV Staff Adjustments

With the departure of Richard Allen as Sanctions Chair (thank you to him for all he has done for us throughout the years), and a reduction in volunteer hours from Shawn Geil, our Secretary and Times Chair, MV staff will now be processing ALL sanction/approval/ and observation requests. In addition, staff will now import all observed times from high school competitions. These duties will primarily be performed by Greg Huskey, so please be patient as we develop our task processes and procedures throughout the year.

New Rules Impacting High School Times

USA Swimming has outlined a new rule change regarding high school times. Moving forward, an athlete MUST be a registered and VALID (APT Must be current if applicable) member of USA Swimming at the time of a swim in order to have it imported into the SWIMS database. This is a significant change from last year and it is very important that you communicate this to your athletes. Girls in Missouri and boys in Kansas will be particularly impacted. Many of these athletes head off to high school and wait to renew their memberships when they return to their clubs. I would hate to see an athlete make a Sectionals or Junior Cut at a conference or State meet and not be allowed to use it for qualification. Please make sure your high school competitors are aware of this change.

FORM C

As most of you know, we ask that each club complete a Form C to help us identify your athletes swimming high school for import to SWIMS. This is a very labor intensive process, as every athlete needs to be identified manually and their IDs need to be added/matched. In an effort to make this a little bit easier, we are asking clubs to fill out one Form C per state and season and there are a few rules we would like clubs to follow.

  • We are offering two different Form C spreadsheets. One for Missouri (posted), and one for Kansas (soon to be posted). We are adding every high school to a dropdown menu to help with data validation. It is important to use these so all spreadsheets can be combined and sorted by school. Once you select a high school, you can populate it in the list by simply typing the first few letters.
  • Please save your file as an .xlsx file and replace the XX in the file name with your club code. DO NOT save as a .pdf, take a picture of it with your phone and send the photo, etc. We need the files to be in .xlsx format. If you do not have Excel, please delegate this to someone on your club that does.
  • Please submit your Missouri Boys Form C before October 15th. For Missouri, you will need to send it to both Greg and Angie Dorsey for the Missouri State meets.

ODP

For those of you with athletes in Kansas, the ODP (Olympic Development Program) list contains the only meets an athlete may participate while being an active member of a high school team. We generally limit the meets in this list to prelims/finals meets, large out of LSC invitationals, and championship level meets. The current list is below and requests for addition should be sent to Thomas Baumann by October 1.

MV 10 & Under Camp - Midwest All Stars

We are in the planning phase of our latest offering, the MV 10 & Under Camp. This camp coincides nicely with NLU's 10 & Under Future Stars meet and we will open athlete applications shortly. This will be a one day camp going over some technical basics, fun, and community. We are looking for a few coaches to be a part of this experience.

Midwest All Stars is also coming up in January, though it appears that the meet may have to be one week earlier due to the Iowa Caucuses. We are also looking for coaches to be a part of this staff. Please note that we are always looking for fresh faces to get involved with these sorts of offerings. You do not need to be a full time, hardened veteran to be named to the staff. We try to blend new coaches with more experienced coaches and would like to see a variety of representation from our coaching community. If you are interested in being a part of either, please complete the Team MO-VAL form below.

Registration Issues - a continuing series

We are getting quite a few questions regarding transfers from parents and coaches.

The process for doing that is not terribly difficult. From the parent login, have them click VIEW on their athlete in the My Family area. From the next screen, they can select Club Transfer in the My Account box, the down arrow, then Initiate Transfer. For new club, they can start typing the team and select it, fill in their first/last name, then submit.

For in-season transfers without renewal, we have always required a transfer request. In the past, it was a $5 fee and the transfer form on the MV site. It is free now, but they have to initiate it from within their login.
