Through the Site Visitors' Lens

The Team Captain Workshop (October 2025) reinforced CoAEMSP's commitment to clarity, professionalism, and continuous improvement. Site visitors are encouraged to maintain high standards of documentation and communication and to adopt a collaborative, supportive approach to accreditation.

Read the takeaways here from those who participated.

*New* Site Visit Report, 2023 CAAHEP Standards

Recently, a new Site Visit Report that aligns with the 2023 CAAHEP Standards was rolled out, replacing all previous versions. You will find it user-friendly, with standardized language for rationales, strengths, and recommendations.

Read the Overview for Site Visitors here.

Other gentle reminders:

  • Remember to identify the type of sponsor in the SV Report.
  • Complete a final review that all fields are complete: i.e., program level, site visitor credentials, individuals present at the exit, entering team email addresses, and contact numbers on the summary page.
  • For the strength, is it an actual strength, or does it meet expectations?
  • Write the strengths, areas of non-compliance, and recommendations in sentences.

Reminders

Expense Reports -
Submit your expense report within 14 days of the site visit; any expense report submitted after 30 days will not be reimbursed. If your travel is disrupted and you incur an additional night, you can expense the additional night(s), hotel, food, parking, and other travel-related expenses.

Per Diems -
Per diems cover your meals and incidentals. Incidentals are minor, necessary costs, such as tips for service providers (waiters, bellhops, drivers) and expenses for laundry, cleaning, and pressing clothing during travel.

Dress Code -

CoAEMSP's objective in establishing a formal work dress code is to enable our volunteers to project a professional image that is in keeping with the needs of our educational programs to trust us. Site visitors need to project the image of a trustworthy, knowledgeable professional for programs seeking accreditation and for our consultative and supportive services. Jeans and sneakers are not appropriate attire. Dress in business attire.

  • Men: Sport coat, dress slacks, shirt, and shoes, and a tie.

  • Women: Blazer, dress pants or skirt, tailored blouse, conservative dress, dress shoes (heels, flats).

  • Opt for tailored fits, neutral/conservative colors (navy, gray, black), and polished shoes.

What if...?

What if a consortium has no separate policies and procedures, only the consortium agreement?

Is this a potential non-compliance?

No. The consortium agreement can serve as the policies and procedures.

What if students are provided with a list of clinical sites and contact information, and they schedule their own rotations? The web-based tracking system is subject to spot audits by faculty.

Is this a potential non-compliance?

No.

2023 CAAHEP Standards

  • Advisory Committee is not required to endorse the minimum expectations or Student Minimum Competency (SMC) numbers. We are seeking evidence that the Advisory Committee reviewed these
  • Physician interaction is no longer required
  • Job descriptions are not required for the program director or medical director since they ‘sign’ the offer/acceptance letter
