Board Meeting Minutes
February 15, 2017
 
DRAFT - MHAO BOARD MEETING FEBRUARY 15, 2017  
The meeting was called to order by president Gay Adams at 7:35pm. 
Those in attendance were Kathy Christensen, Dallas Bolen, Sharon Harper, Karen Breckenridge, Kathy DeFazio, Nancy Eidam, Margaret Korver and John Shaver. 
Missing were David Silver, Diane Pixlee and Carol Dombrowsky.
Quorum present.
 
The Secretary’s report was approved as published.  
Treasurer’s report:  As of 1/31/17 the club had the following:                 $2,705.00            General checking
$25,481.00          General Savings
$2,259.00             Futurity                
$3,989.00             OMC
For a total of $34,436.03 in all accounts.  
It was reported that the club’s taxes have been filed using a new form [990N] which saved much time and cost.  The audit has also been completed.   Motion to approve by Margaret; seconded by Kathy D.  

Committee reports followed with focus on how to get the budget to at least breakeven:  
Show committee report by Nancy Eidam:  The show will be 4 days long with 200 classes – with a goal of all being sponsored.  Nancy is still looking for  2 to 3 volunteers to help call to gather sponsorships. Sponsorships are $50 per class with sponsorship packages also available. Far West has donated $2500 to the OMC/Far West show this year.   

The show schedule was worked out with much effort.  Wednesday will start the show with classical dressage followed by western dressage and then driven dressage.  On Wednesday night all the halter classes will be held with the futurity classes preceding the open division.

There will be a welcome party on Tuesday and an exhibitors’ dinner and awards from 4 to 6 on Friday.  

Gay is looking into getting a big screen TV mounted in the arena area to run paid advertising on during the show sessions.  

Budget goal for the show is to at least breakeven, and if possible – bring in a profit. 

Left the show budget at breakeven.  

High point awards: Per Gay we will drop our 2017 budget for awards from $1,500 to  $1,000 because that is the amount of actual expenses spent for 2016 that will show up on our P&L this year.  Margaret’s guideline for 2017 awards is $1,500.  Actual amount spent will show up on the 2018 P&L, but we ask that she keep the cost down as much as possible and seek donations wherever she can.   

Spring Clinic: Kathy DeFazio reported that she has the speakers lined up and Dallas has agreed to be the moderator.  Daryl will be staying on site at the hotel and Jenny will stay with Kathy D.  We hope for at least 30 people in attendance. 

Karen is unable to attend but Sierra is coming to fill in for her at the reception desk.  Sierra will handle check in, and collect the attendance fee.  Kathy Christensen and Carol Dombrowsky will not be able to attend. 

Actual cost looks like it will be on track to its current budget.  Attendees pay a fee to help offset food costs.  Club pays about half of the actual cost.   

Stallion Auction: The overall feeling on the SSA facebook page is of less interest than last year, however, the number of hits on the website is on track to equal last year’s # of over 7000 hits. Most of the interest expressed on facebook appears to be in the locally owned stallions. The 20 stallions are on the website and will all be presented in a flyer in the next Stable Sheet.  Auction will close at the March 11th event.  Budgeted income is always a guess.  No change to budget number.   Gay requested help with phones to close out the auction.  

Directory: The directory came out late last year in October.  About 60-70 people have renewed their membership for 2017.  We need to reach out to more Morgan owners/enthusiasts in the area to get them to join.  Karen suggested putting the directory off until November.  Karen made the motion to do so; Kathy D. seconded it.  Budget will drop from $1,600 to $800 which is for the cost of the 2015-2016 directory that will appear on the 2017 P&L.   

Membership: Karen sent her updated membership list from payments received to Margaret last week. Margaret needs to compare to her list.  Kathy C. will want to send out welcome emails to any new members, and a thank you to renewing members.  She needs one consolidated list for this.  Margaret only gets the memberships that send in forms.  In future Karen agreed to send out her list from payments received once a month to Margaret.  Margaret will combine with her information and forward to Kathy C.  Kathy will follow-up with those who have not renewed.  We need about 100 paid members to meet the budget requirements.  

Margaret is not able to access database or Microsoft Access Software.  She needs help.  Computer appears blank.  Margaret will get computer to Gay along with all membership paperwork.  Gay will investigate, get it running & updated, then return it to Margaret to maintain going forward.   

Promotion: Kathy C. has sent the application in for the NW Expo so the club will have a presence in Albany on March 24 thru 26.  We need volunteers to help with manning the booth and talking to the public, especially on Friday and Sunday.   

Kathy C. recommends that the club concentrate on reaching more 4-H, WAHSET, OHSET and FAA members rather than attending multiple vendor fairs. Suggestions are requested on how to get more of these kids interested in Morgan horses. They will be putting info in OR Horse Forum and other sites to get more Morgan owners to join.  Kathy D. will put bursts on Facebook about how much fun the club is having, especially more things with family fun, trail riding, etc.  Board members and MHAO members need to do this too.  It is important for members to Like and Share these on Facebook so that they spread farther into the horse community. 

The budget is a net of $500 for promotion.  We are still waiting to hear from AMHA on our Grant request.  Far West will not be donating toward promotion due to its donation to OMC.  Donation from MHCWS not likely, although we will each support the other at any booths we have.  MHCWS will be at Washington Horse Fair in early March.  We will send flyers, etc.   

Open Incentive: Dallas reviewed this program and how it works with the Board.  Current budget is $300, but per Carol at our last meeting, she will let the Board know if all those funds are used up.  How it works:  Any club member who attends clinics, open shows (shows outside the Morgan circuit), OHSET or anything open to all breeds where they pay a fee can submit the cost of their entry fees [not mileage] to the club and receive up to a $25 reimbursement per event up to a total of $100 per membership.  Membership is either Individual or Family.   

Trail Program: Kathy C. will look into putting together an incentive program for trail riding and report back to the board.  She will use the AMHA program (My Morgan and Me) as a reference and look at an old program that MHAO had that no one has been using.   

President’s Fund: Gay has agreed to give up the budget line of $150 for this for 2017.  It was used for incidental costs that the president might incur on the club’s behalf.  Budget reduced to $0.  

Youth:  Anna Lowden has had to resign from the Board due to a job change.  Diane Pixlee has agreed to become youth Co-Chair with David Silver.  Neither David or Diane were in attendance at this meeting.    The Youth budget includes a $400 Scholarship for Youth of the Year awarded if the winner goes to OKC and competes there to represent MHAO.  The winner of our YOY contest must provide receipts AFTER attending the YOY OKC contest and will then get a check from MHAO.  If they do not compete there, they will not receive a reimbursement.  It is easier for them to attend now that YOY contestants do not have to bring their own horse to OKC.  If they plan to go to OKC by airline the club should try to find someone with frequent flyer miles to donate to cover their ticket. If this situation arises, the amount of the ticket’s value would be taken off the $400 they can receive in  reimbursement. 

Nancy suggested the budget for Youth be lowered from $750 to $700.  Motion made by Karen, seconded by Kathy C.  Approved.  

Website: Dallas reports that there are still holes to be taken care of in the website.  She wants to update it with the show information as soon as it is available.  No budget for website.   

Stable Sheet: Gay will publish a quarterly electronic newsletter that focuses on general news and members.  In between she will publish newsletters that focus on club business, meeting minutes, and anything time sensitive.  She does not have time to focus on quality but will do what she can. 

We are still looking for an editor.  Until we have one there is no budget for the newsletter & it will be strictly electronic.   

Futurity: Gay is still working on getting renewals in for 2017.   

Nominating Committee: Gay is looking for a few people to start looking for officers and board members for next year.  John has agreed to serve.  Gay needs at least one more volunteer.  Margaret will run as a Director for 2018. 

There are 3 open board positions at this time that can be filled by appointment.  If anyone on the Board knows of anyone interested please have them contact Gay.  

Budget Summary :  We are still operating on a negative budget.  We all need to do what we can to hold down expenses or find additional sources of income.   

The next board meeting will be the General Membership meeting, Spring Clinic, & SSA Event on March 11th at Hayden’s Grill.  We will NOT be in the same room as last year.  Space is limited.  Reserve early.

April Board meeting will be on April 19th via conference call starting at 7:30pm.

AMHA  Regional Show Proposals
 
The AMHA  Board had a Regional Show Committee Meeting November 19, 2016 and invited a representative from each of the 8 Regional shows. 20 people were involved in this portion of the conference call.   Carol Fletcher our Regional Director and Marli Perry representing Far West were present for the meeting.  We are sending this information out jointly as there may be some misinterpretation of what AMHA has on the table for discussion.
 
4 Proposals were given to all participants and below is a brief synopsis of each.
 
1. Go to a 5 Star System: AMHA  recurrently has a 4 Star System then a Regional Show (input would be needed as to what the 5th Star Rating would look like) 
2. Keep Regionals but go to just 3 Regionals across the Nation and possibly rotate the Regional show within each Region. (every 3rd year this area would have a Regional Show)
3. Go with #1 but Spotlight a show in each Region each year with some incentive from AMHA.
4.   OR keep all regionals as they are now as long as they fit the criteria.
 
This conference call for the Regional Show Reps was very insightful and eye opening.  All Regions are having similar issues and most shows have declining numbers so our particular area is not alone!  
 
What is true for 2017 is OMC/FW cannot use the #8 in the title this year!    One of the possible topics on the call was to let all Regionals go. This was just part of the brainstorming.   This comment has been shared with folks in our Region and may have been misunderstood as being a final decision! It is NOT final!  
 
AMHA wants input and will make a final decision later this year. The goal is to make a decision that will work for the good of the order across the 3 new Regions!  Any final changes will not take place until 2018.  A new AMHA Board takes office as of Feb  2017 at the AMHA Convention. 
 
Here is what you as an AMHA Member in this Region can do:
1. If you have another idea that may work that is currently not on the table please feel free to let us know!
2. If you  have a thought on a 5 Star system and have thoughts about what the 5th Star rating should look like, let us know!
3. If you feel that one of the ideas that have been discussed are the way to go let us know!

In Memory Of

Edrah Spielman
Edrah passed away in January.  She helped us for many years with horse shows in the Northwest. She was a long time and faithful advocate to the Equine community.  She will be missed. 

Sally Plumley sent the following:
Edrah's memorial was a warm family oriented service attended by her children, grandchildren and great grandchildren. Before entering the sanctuary attendees were urged to enjoy a cookie -- peanut butter blossoms -- Edrah's favorite. Edrah's daughter, Cathy Jacksch who was a fixture in the show secretary office with her mother, greeted us. There was a slide show of family events and slides reflecting the connection she and Larry had to the horse world. Some of the music included songs written and composed by Larry. The Morgan show world was represented there by Sally Green, Cindy Clapp, Ray Parnell, and Neil & Sally Plumley.

Thank you for being there for us.   
Stephen F. Nava
Stephen F. Nava, 21, of Kingston, passed away on January 26, 2017. Beloved son of Christine Nava Moulthrop and her husband Bruce of Kingston, and his father the late Frederick J. Nava. 

Stephen was a 2014 graduate of Silver Lake High School, where he enrolled in the Automotive Technology program. He was employed at the family business, Fred E. Nava, and Son, Inc. of Kingston.

Stephen grew up working for many years at the New England Morgan Horse Show in Northampton, MA, where he was a member of the grounds crew. Stephen also worked for many years at the Morgan Grand National, and World Championships Morgan Horse show in Oklahoma City, OK. Stephen was active doing odd jobs at the family farm, Timber Hill Stable, LLC. in Kingston.  His father was an important contributor & advisor to the Far West Championship Horse Show, and Stephen came with him to help.   

Our hearts go out to the family in this heartbreaking loss.  Far West made a donation to the Silver Lake HS Automotive Technology Program in Stephen's honor.

USEF to Host Public Workshop on Medroxyprogesterone Acetate (Depo-Provera®) March 13, 2017

From the US Equestrian Communications Department Lexington, Ky. - The United States Equestrian Federation (USEF) will conduct a public workshop on the use of Medroxyprogesterone acetate, often referred to as Depo-Provera®, on competition horses.  The public workshop will take place on March 13, 2017 from 1:00 pm to 5:00 pm EST at the Orlando Airport Marriott Lakeside Hotel in Orlando, Fla.  Additional information will be available on USEF Network
 
The purpose of the workshop is to address concerns that have been voiced regarding the efficacy, safety, and use of this substance in competition horses.  As such, the USEF is considering whether to make any changes to the rules regarding the use of this substance at USEF-licensed competitions.  Prior to making any decision, and consistent with its goals of transparency and good governance, the Federation will openly review the science and practices regarding Depo-Provera®.  Your participation in the process is essential.
 
The USEF will provide members, stakeholders, and industry experts two ways to participate.  First, the USEF will host a moderated, public workshop.  An expert panel will hear presentations from you, the membership, as well as industry experts, prior to making a report to the Board of Directors at its Mid-Year Meeting. Second, the USEF will accept written comments, which must be received by the USEF no later than one week following the public workshop.  Comments may be submitted by emailing 2017workshop@usef.org.
 
To participate in the open workshop, attendees must register prior to attending by emailing 2017workshop@usef.org.  In order to provide adequate space, only registered attendees (including press) will be permitted.  If you are interested in presenting, you will be required to identify your area of focus (e.g. trainer, veterinarian, owner, competitor, manufacturer, scientist) and provide a short description of what topics or concerns your comments will address.  Presentation times will be limited and strictly enforced for all presenters.  In the event that more presenters register than time will permit, presenters will be selected by the expert panel to ensure a sufficient diversity of topics are covered. 
 
Due to their specific expertise, the following presenters have accepted an invitation by USEF to participate:
  • Dr. Stephen Schumacher, DVM, Chief Administrator, USEF Drugs and Medications Program
  • Dr. Patrick McCue, DVM, Ph.D., Director, Equine Reproduction Laboratory, Colorado State University
  • Dr. Jim Heird, Ph.D., Glenn Blodgett Equine Chair, Executive Professor, and Coordinator Equine Initiative, Texas A&M University
  • Mary Babick, President, USHJA 
A full agenda will be published one week prior to the meeting, which will include presentation times.

Please note, the USEF expert panel will not take questions from the floor during the public workshop.  The panel itself may ask clarifying questions to the presenters, which will not affect their allotted presentation time.  The panel will also not comment or offer immediate opinions on the presentations.  Rather, the body of evidence presented, along with subsequent written comments submitted to the USEF, will be reviewed as a whole following the close of the comment period and will provide the basis for the panel’s non-binding recommendation to the Board of Directors.
 
For those members who are unable to attend, the public workshop will be live-streamed on the USEF Network.  Although USEF membership is not required to attend in person, membership is necessary to access the live stream.

US Equestrian Learning Center Goes to College

Lexington, Ky. - US Equestrian’s new online Learning Center has proven to be a useful educational tool in one University of Vermont (UVM) animal sciences course. Christina Rohan, a hunter/jumper trainer who also is a UVM lecturer, says Learning Center videos have played a role in her Equine Industry Issues class, where students examined US Equestrian’s role as the national governing body for equestrian sport in the United States.

“I felt that they had to have some understanding of US Equestrian, what it is, and how it works,” Rohan explained. “That got me looking at the website more. I discovered the videos, and thought, ‘There’s some good information here that I can use.’”

So far, Rohan has used the “About US Equestrian” videos to introduce students to US Equestrian and the breeds and disciplines it recognizes. When the class discussed medications and US Equestrian’s role in drug testing, she also showed such videos as “US Equestrian: Protecting Horse Welfare” and “Best Practices: Five Steps to Avoid Horse Drug Violations,” which also include downloadable supplemental material like the 2017 Guidelines for Drugs & Medications.

“It’s super helpful to have those links to additional information,” Rohan said. “I printed out the Drugs and Medications Guidelines just to have as a reference to offer the students.

“A lot of the students I have don’t compete, and I’m trying to get them to feel it’s important to be connected to US Equestrian,” she explained, adding that much of what US Equestrian does has practical applications for students who want to work in the equine industry. “One girl wants to be an equine vet, and I said, ‘It’s really important to know the rules and regulations if you’re a vet, because your clientele is going to look to you for answers.’”

Rohan said she has another student who is considering a job with a company that sells feed supplements and felt it was important to understand the drugs and medications rules in order to advise customers appropriately.

“So they were making the connection,” Rohan said. “I’m hoping that they’ll be better horse owners and better horse advocates by being knowledgeable about some of the resources and issues and what’s out there.

“I like the addition of the Learning Center,” she added. “For my students who have their own horses, some of the basic horse care pages have some good things, too, like tips on body clipping and what you need in a horse’s first-aid kit.”

Rohan believes that kind of content could be useful to teachers of students at all levels. As a vice-president of the Vermont Hunter Jumper Association, she also thinks it’s also a good resource for groups who host or send students to horsemanship competitions.

“As you grow your content, I think it could be a good tool for people to access that information,” she said. “I value that you’re trying to reach a broader group of equestrians and not just people who are competing.”

The Grand National was voted the Best Overall Horse Show, the Park Saddle World Championship was voted Class of the Year, and the Amateur Pleasure Driving World Championship was voted the Reserve Champion Class of the Year!
