Student Absences

Heading Out This Summer? Let Us Know! 🌞

We totally understand that summer can get busy! If your student will be absent from an EPIC class, just give us a quick heads-up. You can call or text the EPIC Program Lead at 952-232-9321.

Please include your student’s name in your message or voicemail. If we miss your call, no worries—just leave a voicemail and we’ll get back to you as soon as we can!

  • If your student(s) are absent from class, you will not be refunded for missing that day of class. Please notify us at EPIC@edenpr.org or call/text if your student is going to be absent.

Camp Cancellation/Change Policy

All requests for course modifications or cancellations must be submitted in writing and received by EPIC via email at EPIC@edenpr.org at least 7 calendar days before the start date of the class in order to receive a full refund.

  • Cancellation requests made within the 7-day notice period will NOT be eligible for a refund.
  • Additionally, cancellations requested after the class has begun will NOT be refunded under any circumstances. A $10 processing fee applies to cancellations of fee-based Enrichment classes.

If EPIC cancels a class...

🌧️ Weather-Related Cancellations

EPIC classes take place in local school buildings, so if the school district closes due to storms or other wild weather, our classes will take a weather day too! Don’t worry—we’ve got you covered: you’ll either receive a refund for the missed class or we’ll do our best to reschedule it.

📉 Cancellations Due to Low Enrollment

Sometimes, a class doesn’t get quite enough sign-ups to make it a go. If that happens, we’ll let you know at least 7 days before the class is set to start. We’ll happily help you find another awesome class for your student—or issue a full refund to your original payment method. Easy peasy!

Drop Off and Pick Up at Prairie View

A Smooth Start to EPIC 🚗

During the first week of EPIC, things may move a little slower as our team works hard to make sure every student gets safely into the building and to their classroom. We truly appreciate your patience and support as we get everything running smoothly!

To help keep everyone safe, only EPIC students and staff will be allowed inside the building. Pick-up and drop-off will be curbside only—please stay in your vehicle, and an EPIC staff member will be there to guide students to and from the building.

Thanks for helping us make EPIC safe and successful for everyone!

All student drop-offs and pick-ups will take place at DOOR 18 of Prairie View Elementary. This door is located by the bus parking lot off Peterborg Road.

Need help finding it? Check out the image above for a better view of the location!

Morning class drop-off is from 8:45-9:00 am

Morning class pick-up is from 12:00-12:30 pm

  • You must pick your student up by 12:30 pm. Any late pick-up will be charged a $15 late pick-up fee.

Afternoon class drop off is from 12:45-1:00 pm

Afternoon class pick-up is from 4:00-4:30 pm

  • You must pick your student up by 4:30 pm. Any late pick-up will be charged a $15 late pick-up fee.

Need to pick up your student early or drop them off late? No problem!

Please text or call our EPIC Site Cell Phone at 952-232-9321 to let program staff know.

If you need to pick up your child early, please plan to arrive at least 15 minutes before dismissal — that’s by 11:45 a.m. for morning camps and 3:45 p.m. for afternoon camps.

  • For safety and smooth transitions, we’re unable to accommodate early pick-ups after these times, and you’ll need to wait until regular dismissal. Thanks for your understanding!

Supervised Lunch & What To Bring

Staying for the Full Day? 🍎🥪

If your student is enrolled in both a morning and afternoon EPIC class, they’ll enjoy a supervised lunch break from 12:00–1:00 p.m.

Please make sure to send a lunch and drink with your student so they’re fueled up and ready for more fun in the afternoon!

What to Bring to EPIC 🎒☀️

To help your child have a great day, please make sure they bring:

  • A water bottle – labeled with their name
  • Sunscreen – for outdoor camps only
  • A peanut-free snack
  • A non-refrigerated lunch – only if they’re attending both a morning and afternoon class

Please leave personal items like electronics, toys, and other valuables at home—we’ll keep the focus on fun and learning!

Medication at EPIC

If your child needs any medication (inhaler, Epi-Pen, Benadryl, Advil, etc.) stored during EPIC, we’ve got you covered — but there are a few important steps to follow to keep everyone safe and sound:

  • All medications must come in the original prescription bottle.
  • A Medication Authorization Form must be completed before we can give any meds (even over-the-counter ones).
  • EPIC staff can’t provide or administer any medication without a doctor’s written order.
  • Please send your child’s medication and completed Medication Authorization Form on the first day of camp. EPIC staff will safely store all medications in a locked space during the day.

If your child will need any medication (inhaler, Epi-Pen, Benadryl, Advil, etc.) on-site during camp, please reach out to us at EPIC@edenpr.org so we can help you get everything set up in time!
