Supply Chain Management
1. Upcoming Curtailment Schedule
The Supply Chain Management department will be closed for the curtailment period from Friday afternoon, December 22nd, 2017 through Monday, January 1, 2018.

BearBuy operations and technical staff will respond to critical problems during the non-holiday curtailment days (Wednesday December 27th and Thursday December 28th).
2. BearBuy Courses
Beginning January 2018, Supply Chain Management will be hosting and facilitating BearBuy hands on trainings for Shoppers, Requisition Creators, Requisition Approvers, Match Exception Preparers, Voucher Approvers and Change Order Preparers. Register to learn more about BearBuy with one of our upcoming in-class trainings based on BearBuy user roles. Courses are offered through the UC Learning Center .

All upcoming in-class trainings, along with course descriptions, are listed on our SCM BearBuy Training Courses webpage . Please note, our courses have a minimum attendance requirement. If a minimum of 6 or more users is not met, this session will be rescheduled.

3. Office Depot Hosted Catalog Launch
BearBuy will be launching the new Office Depot Hosted Catalog on Monday, December 18th. The current OfficeMax catalog will be disabled concurrently. There should be no issues with open orders in BearBuy. Office Depot purchased Office Max in 2013.

The Office Depot catalog offers significant savings on a vast assortment of quality office products, one of the largest assortments of environmentally preferable products in the industry, streamlined purchasing and contract items that provide the deepest discounts.

4. Amendment and Change Order Tips
  • Initiate a change order request in BearBuy on the existing Purchase Order (PO) prior to the Supplier performing additional services or delivering more goods. Payments to suppliers ​​will be delayed if the PO isn’t updated in advance.
  • Is this a request for new services that aren't related to the previous order? Set up a new PO. In general, PO’s should be set up for one fiscal year unless it was awarded from a multi-year competitive bid conducted by Supply Chain Management (SCM).
  • ​L​og into BearBuy, look up the PO# you want to change and address a comment to your assigned Buyer for orders over $5000 or the assigned CSS Change Order Preparer for orders under $5000 so there is a documented audit trail that the department made the request to add funds.
  • Provide the details of what is ​being amended​ in the ​Bear Buy PO ​comment ​section:
  • Upload a revised Statement of Work ​that details the additional services that will be performed by the Supplier
  • Upload the amendment form or include any new information on service end dates, ​amended Supplier quote, or chart string changes​ as a comment in the PO​.
