DPS' Transition to A New Solution for Employee Systems: Top 5 Things to Know
|

|
As we shared prior to spring break, DPS will be transitioning from Infor/Lawson/GHR/Learning Space to a new, cloud-based Enterprise Resource Planning (ERP) solution hosted by Oracle over the next two years. Denver voters approved the funding in November 2020, and the Board of Education approved the shift in December 2020 in order to address the fact that our current system prevents DPS from modernizing service and processes that are necessary to meet the needs of Team DPS.
This shift -- led by the At Your Service (AYS) Project Team within HR, Finance, and DoTS -- is focused on putting people at the center of HR and finance services while optimizing operational and technical functions. We know you likely have questions about what this might look like, so here are the Top 5 things to know:
5. Everything you currently do in Infor/Lawson/GHR/Learning Space, you’ll be able to do in the new system. This includes tasks like managing your personal information, posting or applying for jobs, registering for training, purchasing items for your school or department, preparing your budget, composing your goals, and more. Infor/Lawson/GHR/Learning Space will be fully replaced with this new solution when this project is complete. (Tasks like requesting time off and logging hours are currently managed in a separate software, which will not change.)
4. We’re utilizing updated technology. The new system is cloud-based and uses integrated technology to put everything in one place, which simplifies processes and increases system reliability.
3. You’ll notice increased accessibility. The new solution will be easily accessible from multiple devices, allowing you to navigate within the system when and where you need to.
2. You’ll start to see changes during the winter term of the 2021-22 school year. Please note that this is a multi-year roll out. The first areas that will “go-live” will be recruiting, HR, benefits and payroll. All other areas will be gradually introduced over the course of the next two years, with the project wrapping up in early 2023.
1. Training will be available to all members of Team DPS. There will be multiple opportunities for training and access to support resources. Stay tuned for more information next month about an opportunity to get involved as an early adopter on your team!

Our young ladies of SHADES have been engaged in spirited dialogues about how to think about Earth Day on a local scale. We spoke of making our local communities and surroundings cleaner. Complete the Well Aware Program by May 14 to Receive $200!

Team members currently enrolled in a DPS health plan can complete the Well Aware Program by May 14 to receive a $200 HSA credit or paycheck stipend. The Well Aware Program encourages employees to complete their online health risk assessment and be up-to-date on their preventative screenings. Just complete the two requirements and you will be eligible for the $200 reward!

New CDE Online Licensing System Available
|
|
|
|
The new CDE licensing system -- Colorado Online Licensing (COOL) -- has been designed to streamline processes for educators applying for and renewing their Colorado educator credentials, reduce processing time and include more automated notifications for users. The system also has added features such as an educator profile, credential print options and a two-way communication tool for users to connect with Educator Licensing directly within the system. Update on Use of Local Home Folders (W: Drives)
|
|
|
|
With the transition to Google Suite, the use of local home folders (W: Drives) has dropped to just 16% due to team members’ preference for Google Drive. DoTS is now in progress of performing a full review and cleanup of the Home folder file system, as well as updating home folder usage regulations. "The Denver Health Clinic at Abraham Lincoln High School was renovated this past summer and some work continues to linger on this year. Throughout the entire process -- pre-construction, during construction, and now while the finishing touches are being completed -- Jade has communicated extremely well with those of us working in the clinic to make sure that the work was getting completed to our satisfaction. He also helped facilitate our new office furniture delivery. Jade built, set it up and hauled away all of our old office furniture! Jade is very responsive to all of our emails and, if he doesn't know the answer, he is able to find out who he needs to talk to in order to answer our questions.
