Finance Department Update

NEWS FLASH….on December 8, Veronica Reyes-Ibarra will begin her new role as Administrative Coordinator in the SAFA dept.

We appreciate her contributions to the finance dept and wish her the best of luck in her new role.

 

Starting on December 8th, Zach Warling will temporarily take over the Procurement Specialist’s tasks which include the following:

  • Bill.com (formerly Divvy)
  • Amazon
  • Sam’s Club
  • Per Diem checks for travel
  • SAFA check requests

Also, please note that all November Bill.com (formerly Divvy) transaction should be completed and approved and reimbursement request including mileage should be submitted by today.

REMINDER FOR STUDENT SERVICE PLANS

  • If you need to add a Targeted Need for a student or update interventions, service codes, etc. on a Service Plan, you should edit the existing Service Plan. Do NOT create a new Service Plan. Students should only have one Service Plan per program year.
  • PMD regularly audits for duplicate Service Plans and will merge these records as we go, however, if you have duplicates your Targeted Needs Summary reports will not display correctly, so please keep this in mind.

 

UPDATED PROGRAM REQUIREMENTS TRACKING 

Over the weekend we successfully implemented a new process in Apollo that will update Program Requirements tracking checkboxes on Program Engagement records each night. This means that if a process failed in the past, it will be refreshed and updated daily. This should reduce the number of issues we’ve seen with the Program Requirements checkboxes not checking off correctly (i.e. for Pre-SHAWS). 


Additionally, the new process now accurately tracks when two indirect service attempts have been logged for a Monthly Check In (7032) or for Family Outreach at Intake (3012in). This will provide a more accurate tracking process for requirements. 

PLEASE NOTE: These processes now run nightly at 12:30am. They no longer run in real time. This means that you will see updates to your Program Requirement checkboxes the day after you make them. Why the change? All our instant processes were causing the issues we were seeing last month with creating Service Deliveries. Too many things running at once = nothing can run well.

  • Program Managers and Program Directors, please help make this process better by providing feedback via this form. Let us know how it went and what we should do differently for the next go-around!

Mental Health and Wellness Department Updates

Hello CISters – a quick reminder that we are holding the Practical Applications of Ethics in School Based Services training via zoom. A new link was sent to all those registered. The new link has been added in Auzmor. The AISD LMHPs will be joining us for this important topic. See you there. If you cannot attend, it will be recorded and an assessment will be included so that you can still earn the 3.0 ethics CEUs.

Hola CISters, We had another helpful session of bilingual case consultation. We will be adding notes and resources provided by Alma Mena, LCSW-S to the new and improved Menu of Interventions in Apollo. Our next meeting is December 18th, 10-11:30am at Central. Sign up is in Auzmor. Register so we get a good count for breakfast tacos!

Welcome y Bienvenidos a Jennifer Loera-Alvarez as the 1st Program Manager for our new CIS Program at McBee Elementary School! This photo was taken on her second day for a quick trip to campus during lunch with her PD, in the entrance way to Celebrate becoming a McBee Bumblebee! We are glad that you are here!

This last Saturday, some of our CISCT alumni and their families came to together at the Alumni Winter Luncheon to enjoy some good food, make snow globes, and have some fun time to catch up with each other!

AmeriCorps member, Alia Solarz, with her children at the Langford Family Literacy Night. Alia created an I Spy board where students and families could search for hidden items. Alia is assisting a student find an item.
