Creating Welcoming Spaces at IEEE Events
IEEE is committed to creating a welcoming, safe, and i nclusive atmosphere for everyone participating at all IEEE events. Supporting this commitment is the IEEE Event Conduct and Safety Statement , launched in 2019 as the credo for all conferences, events, and meetings.

Marie Hunter, Senior Director, IEEE Meetings, Conferences & Events (MCE) commented that the Statement was a response to “ a growing need across IEEE to provide additional guidance for organizers and support for anyone attending an IEEE event.”

To improve adoption, MCE made the statement available in nine languages, communicated broadly across the IEEE Conferences Community, and provided practical tips on communicating the statement at IEEE events.

While many IEEE events have already adopted the statement, including it on their websites and in their promotional materials, organizers are encouraged to continue to do so in the future.

Awareness and training are critical steps in helping organizers be more mindful and proactive about inclusion at their events. IEEE Conference Chairs, Conference Treasurers, and Technical Program Chairs are required to take selected courses within 60 days of appointment. The courses cover topics such as preventing discrimination and harassment, and understanding the IEEE Code of Conduct.

Other IEEE initiatives include the Technical Activities Board (TAB) Committee on Diversity & Inclusion and the IEEE Conferences Committee Ad Hoc, focused on diversity and inclusion at IEEE events.

When event incidents pose potentially unwelcoming or unsafe environments for participants, MCE provides real-time response for event organizers, in need of assistance. In responding to an incident, MCE may work closely alongside other IEEE OUs as needed, and at times confers with external agencies, as in the case of emergencies.
