Considerations for Creating a Virtual Event

With the future unclear on returning to in-person conferences, organizing committees should continue to evaluate virtual options for their event. This article highlights some valuable information provided by the IEEE Conferences Committee and Meetings, Conferences & Events (MCE)

Why Virtual?

Comparing to other possible options, such as postponement or cancellation, going virtual offers many advantages. These include disseminating and publishing research results
without delay, maintaining annual event organization cycles, and usually lower cost, although there are limitations on live interaction. However, there are many techniques to engage your audience, your sponsors and exhibitors; as well as ways to include new audiences.

Re-Imagine Your Event

Successful virtual events are organized differently than in-person meetings - you cannot merely take your in-person meeting and do the same thing virtually. Start by thinking carefully about what your attendees want to get out of your event, as that will inform your choices on what to offer and how to execute.  

Keep in mind the tool or platform is not a “venue”, the venue is the location where your participant is physically located; like audio-visual choices for an in-person meeting, the platform is a choice that supports those participants as well as the goals of your program

Virtual Event Resources

 IEEE Region 10 Conference Leadership Program 2020
IEEE Region 10 organized its second ‘Conference Leadership Program (CLP)’ on 6-7 October 2020. The program was planned to be held in India and China, but due to the COVID19 pandemic, it was conducted virtually. 

Approximately 88 delegates from 8 countries of Region 10 participated in the program which was a continued collaboration among MCE Conference Education, IEEE Conferences Committee and Region 10. Following detailed discussion with Region 10 volunteers, the course was designed to serve the needs of IEEE conference organizers. 

Delegates completed pre-CLP on-demand courses in the IEEE Center for Leadership Excellence (CLE). Fred Schindler was the primary speaker, covering: IEEE Technical Co-Sponsorship Fundamentals, Plagiarism and Peer Review process. Bangalore Section Chair, Puneet Mishra shared Bangalore Section experiences with financial sponsorship and Bangalore Section TCS Approval Process.

IEEE Conference Contracts: Important 2020 Year-End Dates to Know

It is that time of year again when IEEE begins to close the financial year.

As a result, and as part of our regular annual process, all contracts that require signature by 31 December 2020 need to be submitted to the Legal and Compliance (L&C) Department by Friday, 6 November to meet your needs.

To allow for the typical pre-work, MCE requests that all contracts be submitted to the MCE Conference Contracts team by Friday, 30 October.

MCE will make every effort to ensure that contracts submitted on or before this date are sent to the L&C team by their deadline and then submitted to IEEE Strategic Sourcing for signature before their end-of-year processing deadline of Friday, 11 December. 

Contracts submitted after these dates continue to be processed as quickly as possible, in the order in which they are received. 

Key Dates for Your Action for Contracts Requiring Signature by 31 Dec 2020
  • Friday, 30 October: Contracts due to the MCE Conference Contracts Team
  • Friday, 6 November: Contracts due to the IEEE Legal and Compliance (L&C) Dept.
  • Friday, 11 December: IEEE Strategic Sourcing year-end processing deadline
