Components and Crediting

Ask the Food Program

Question:

I sometimes see deduction and Override information on my Claim Summaries. What is an Override?

Answer:

Thank you for your question!

Here is an image from a Claim Summary that shows this:

On the left, the meal dates subject to 241 errors – Child not approved for Lunch – are listed. On the right is the ID number of the child who was subject to that deduction and the meal(s) or snack(s) that were affected. Just below the date of the error, you can see Override information that effectively cancels that deduction.

Overrides are completed during claim processing to cancel potential errors. This is an administrative process that the Food Program completes on behalf of providers and part of the procedure that is followed to verify claims are paid accurately. Overrides may have different numbers – because they correspond to different, potential deductions with specific numbers – but they cancel that potential error.

Verify whether you were paid – or not! - for that potential deduction by reviewing the totals at the top of the screen.

The image shows that the totals on the left for Recorded meal(s)/snack(s) match the totals for those Paid on the right. This provider had potential errors that were overridden during claims processing, with no final deductions to their total Food Program payment.

Note: Only certain errors are subject to override during claims processing.

School-Aged Children Present at A.M. or Lunch

When you claim meals to snacks for school-aged children who typically are served during their school hours, such as A.M. Snack or Lunch, you must let the Food Program know why the children are in child care. Log into  CACFP.Net https://providers.accutrak-cacfp.net/Login.aspx?ReturnUrl=%2f

Under Site Changes, select School Age Requests.

Select the date, the name of the child from those enrolled in care and select the meals and snacks. Add a statement about why the child is in care, such as “No school,” as shown below. Be sure to save changes.

This information will be sent electronically to the Food Program.

Without this information on file, meals and snacks served to school-aged children during school hours from September through May may not be allowed. Note that school-aged means 5 years and older.

Monitoring and Oversight

Report Your Closures

If you will be closed for vacation or due to illness, it is your responsibility to notify your Area Coordinator before 7 a.m. Reporting closures in the Child Care Portal does not satisfy this Food Program requirement. If you provide transportation to or from school, you must also notify your Area Coordinator of the times you will be away and unavailable for Home Visits.

Parents Must Complete Child Enrollment Forms Thoroughly

  • Each parent/guardian must complete all the applicable information on the Child Enrollment Form for their child.
  • You must verify that all information on the Child Enrollment Form is complete and correct, including each child’s meal/snack authorization. Incomplete or incorrect information is considered provider error and is not adjustable.
  • Food Program recommends selecting all meals and snacks for which the provider is authorized. This includes children enrolled for occasional care, such as drop-in care or summer-only care.
  • Food Program recommends selecting Yes to Schedule May Vary to help account for changes to attendance:
  • If you notice an error, contact the Food Program right away to prevent further deductions to your claim.
  • Be sure to keep copies of completed enrollment forms for review during Home Visits by your Area Coordinator or representative of DPI or USDA.

Records and Retention: Your Responsibility

  • Keep accurate daily records of attendance, menus, and meal counts
  • Record menus and meal counts (i.e., attendance) online by the end of each operating day
  • Enroll in the CACFP, at no charge, all enrolled children through 12 years, infants, and children of any age when having disabilities, including children enrolled for drop-in care.
  • Retain and have ready access to all CACFP records for the current fiscal year (October through September) plus the prior three years.
  • Keep current and previous 12 months of records onsite; prior records may be kept offsite if readily accessible.

What is a Household Contact?

The WECA Food Program is required to complete household contacts for some child care homes participating in our program because of federal regulations. If your family child care is chosen for a household contact, each family will be asked to complete a submit information about their child’s days and hours of attendance and the meals received in your child care home during a targeted interval. Completing this information carefully and timely helps to ensure the integrity and quality of the food Program.

Wisconsin WIC Program

Current Women, Infants and Children (WIC) Income eligibility can be found here.

  •  You are required to provide current WIC program information to all parents of children in care.
  • Post it where all parents can see it or give one to each family.

WIC promotes and maintains the health and well-being of nutritionally at risk pregnant, breastfeeding, and postpartum women and infants and children. It provides nutrition, education, breastfeeding education/support, supplemental nutritious foods, and referral to other health and nutrition services.

Holiday Closures

WECA offices will be closed from Dec. 24 through Jan. 1, 2026. Regular hours and operations resume on Jan. 2, 2026. Contact your Area Coordinator if you need assistance during this time.

This institution is an equal opportunity provider.

The Provider Connection is published by the WECA Food Program.
