The Strategic Services 2023 Meeting

Sponsor set-up area: Symphony Ballroom Foyer

Set-up time: Wednesday, May 10 from 4:30 – 6:30 pm

Setup Procedure: A raffle will begin for table placement at 4:30 pm sharp. All sponsors present at 4:30 pm will be randomly selected via raffle drawing and will claim their preferred table in the order they are pulled. Any sponsors not present during the raffle will have their choice of the remaining tables once they arrive on-site.

Break down: Friday, May 12 from 11:30 – 1:00pm

Break down Procedure: Sponsors are free to break down early after the final General Session break of the meeting. If you choose to do so, please be mindful of excessive noise, as members will still be in session during this time.

2023 Sponsor Policies and Reminders

The purpose of the content below is to communicate OrthoForum sponsorship policies and reminders to 2023 sponsors. We aim to provide equity of sponsorship and to ensure that sponsorships are consistent with the strategic direction and core values of the OrthoForum.

• OrthoForum sponsorship opportunities are for those companies specifically offered by name and do not extend to any affiliate or parent companies.

• OrthoForum sponsorship allows 2 sponsor badges for the Strategic Services 2023 Meeting, unless otherwise communicated in your sponsorship package. Note that these badges are non-transferable.

• An attendee list will be provided to all sponsors 3 weeks prior to the event. To maintain a mutually beneficial relationship between sponsors and members, we ask that contact with meeting attendees specific to OrthoForum sponsorship take place within the communication window of 3 weeks prior and 2 weeks post event.

• OrthoForum sponsors should refrain from scheduling or coordinating dinners, meetings, or other events that conflict with planned OrthoForum agenda activities.

• Please adhere to the predetermined set-up time and make note of set-up procedures. No early set-up or table-claiming will be permitted. Visit the sponsor website for details.

• Sponsor exhibits (signage, equipment, etc.) must fit within the booth space of approximately 8’ x 8’ x 10’. Note that this space includes a 6 ft. table and chairs for reps. Vendors featuring displays that exceed these measurements may be asked to adjust or take down.

• The partnership between sponsors and members empowers a wealth of knowledge and the advancement of orthopaedic education. With this in mind, you are welcome to attend each general session. However, breakout sessions should not be attended by sponsors.

• The OrthoForum provides many networking opportunities for sponsors and members. As sponsors, you are invited to attend all events including breakfast, lunch, cocktail receptions, and evening gatherings to advance your brand and meet your networking needs.

• Shhh! Please be mindful while breaking down your booth space, as members are likely in session.

• We understand that circumstances may arise that are outside of your control. If an early departure is needed, please notify Rachel Riley via email so that we can plan accordingly.



• Please take all sponsor equipment, flyers, and products upon departure. We understand that occasionally items are left behind by accident. If you leave something of value behind, please contact the hotel.
