Good evening,
Below are several questions we have received throughout the week regarding the 2021 Election of the Board of Directors. All candidates have received then into below.
- Each household (residence) will be allowed to vote for up to five candidates. Only one vote for a candidate per ballot. There will be no ranking of candidates and each household will get five votes total.
- The current board has contracted with a third-party company, “The Inspectors of Elections” (T.I.E.). They will send out ballots to the entire membership roster as of 7/9/2021, on 7/19/2021. If a new resident moves in during the election, we will work with them to vote. If the new resident moves into an existing home, T.I.E. will confirm that the previous owner did not vote. If they did, the new owner would replace the previous owner’s votes.
- The candidate with the most votes will be elected for a three-year term, the following two candidates with the most votes will be selected for two-year terms, and the final two candidates will be elected for one year. If there is a tie for any of the times listed, we will try to work it out between the candidates first. If we cannot agree, there would be a runoff.
- If there is a tie for the last spot, there will be a runoff.
- The association will not host additional speaking engagements outside of the meet the candidate event scheduled for Tuesday, July 13th. If a social club or group request a candidate appearance it is outside of what the documents control, and it is up to the candidate to campaign at the group’s invitation. It will not be up to the association to prevent these events.
- The “Meet the Candidate” event will stream live next week and the link will be on mysweetgrass.net. This video will allow residents to watch from home and help with any overflow concerns.
-
Each candidate will receive three minutes to introduce themselves. In order to not cause disruption but keep everything equal per candidate we will monitor with a traffic light system. Once a candidate begins, we will raise a green card. At the two-minute mark, with a minute to go, we will raise a yellow card. At the three-minute mark, a red card will be raised signaling the end of their time.
- The order of the introductions will be alphabetically by last name.
- After the entire board of directors is elected, the five will vote at the first meeting for the executive positions. (President, V.P., Treasurer, Secretary)
- Ballots will be delivered through the mail to all residents, and they can return them through the mail, or the resident can cast their vote online. Instructions are included with the ballot.
We will be organizing all of the questions and sending them out to all of the candidates by email after the “Meet the Candidates” event. After we work through the duplicates. The videos will be on mysweetgrass.net. All videos will be uploaded on the same day at the same time, Friday, July 16, 2021 and resident will be notified via electronic email.
Thank you for taking pride in your community.
